- Bachelor's Degree in Healthcare Administration preferred; bachelor's in Business Administration or a relevant field (or an Associate Degree and 2 years relevant work experience).

For over 65 years, UCS has been providing exceptional and thoughtful care to individuals and families in our community through programs, services, and educational opportunities. Our staff includes positions such as administration, clinicians, nurses, teachers, case managers, psychiatrists, and direct support providers who work within our 15 facilities to support over 3,000 individuals annually. We are proud to be part of Vermont Care Partners, a network of sixteen agencies that provide mental health, substance use disorder, and developmental-disability services and supports in every county in Vermont. QUALIFICATIONS:
The Office Manager oversees the daily operations of the front office teams that support the Adult Outpatient; Community Rehabilitation and Treatment; Substance Use; Children, Youth, and Family Services and Administrative teams.
MAJOR RESPONSIBILITIES:
ADMINISTRATION
Actively manages program requirements and activities. Oversees the daily workflow of the program. Participates in the quality improvement and assurance activities including tracking and reporting on quality measures and staff KPIs throughout the program. Recruitment and hiring of administrative staff members. Ensures adequate administrative support at each location as appropriate with developed work schedules. Monitor time and attendance for administrative support and regulate workflow. Monitors data for quality assurance and quality improvement purposes. Ensure compliance with client care and administrative responsibilities. Works with vendors to obtain equipment as needed.
SUPERVISION Provides direct supervision for all program staff, including, but not limited to, time sheet review and approval, meeting with staff for supervision to align with agency policy, providing work assignments and direction, performance management, and staff performance reviews. Monitor agency, division, and position specific KPIs and discuss with staff. Participate in the recruiting process and make hiring decisions. Coordinate onboarding and training programs for new staff and identifies training needs for current staff. Ensures all required documentation is completed in a timely fashion. Oversees and ensures accurate entries in the electronic health record.
PROGRAM MANAGEMENT Meets regularly with clinical directors at off site locations to ensure program and facility needs are met. Liaison to the clinical and finance teams. Delegates authority to level of responsibility. Updates and/or develops new procedures to align with best practice and retaining continuous quality improvement efforts. Oversees the accuracy and timeliness of reports. Ensures adherence to agency policies and procedures and divisional/program workflows.
OTHER Serves as a member of the agency's EHR Superuser Committee. Serves as a member of the agency's EHR Steering Committee. Serves as a Health and Safety Officer and attends regularly scheduled Health and Safety Committee Meetings.Other duties as requested and/or necessary to ensure efficiency and effectiveness. Facilitates monthly Access to Care Team Meetings.
