    POSITION SUMMARY:
    The Sr Payroll Specialist is an integral part of the Finance and Coats team, ensuring that we are compliant with all payroll laws, and that our employees and vendors are paid correctly each pay period. This person will work closely with some members of the Finance team and HR team to ensure best-in-class customer service while maintaining a level of professional confidentiality. Payroll responsibilities span more than 375 employees across many US states and Canada and will require filing various payroll related tax returns.

    This role is a hybrid remote / in office position, with more in-office time required at month and year end. The candidate must be willing to come into our LaVergne office, most likely 75% in Office and 25% at home split but can vary based on business needs.

    KEY RESPONSIBILITIES:
    • Manage the Payroll function with accuracy, timeliness, and efficiency, and in accordance with policy, procedures, and in compliance with individual state laws
    • Manage, prepare and/or review weekly and bi-weekly payroll (and commission/bonus payroll as needed) and ensure proper documentation is attached before payroll is processed.
    • Maintain and oversee all on-site ADP clocks and systems. Review approved timecard totals to be uploaded from ADP. Apply knowledge of Federal, State and Company Leave of absences while having a basic understanding of company PTO policies to ensure timecard accuracy
    • Act as system administrator for current system (ADP) including adding earnings codes, deduction codes, system set up etc.
    • Work with ADP to prepare for year-end closing, including employee record accuracy testing before distribution of W-2's scheduling of payroll runs for the next year.
    • Maintain and improve internal controls for Payroll activities and assist internal, external, and regulatory auditors as needed.
    • Build and maintain relationships with operational leaders to better understand the business and provide better support, encouraging a customer service focus. Respond to internal and external customer inquiries in a timely manner.
    • Support of applicable month-end closing procedures, focusing on Payroll Upload and Hours Reports.
    • Provide cross-functional support and assist Accounting and Finance management on projects as needed.
    • Work with customers (employees) on timecard issues, LOA questions, tax questions etc while providing excellent customer service and interpersonal skills.

    CONTINUOUS IMPROVEMENT:
    • Analyze current processes and identify wastes, recommending and implementing changes to improve efficiency and internal / external stakeholder satisfaction.
    • Drive transitions to new vendors and help to lead broader system transformation cross functionally to fulfill the above and company objectives.

    REQUIREMENTS:
    • High school diploma required.
    • Minimum 6-10 years of experience processing payroll in a manufacturing environment, federal, state, and local tax resolution, and proven experience with multi-state payroll.
    • Background familiarity with payroll laws of the United States, and ability to research and update on a regular basis.
    • Advanced Microsoft Excel, Word, and 10-key skills.
    • Ability to work on some Holidays in order to process payroll (should be limited and additional time will be given to be made up for)

    PREFERRED:
    • Relevant Associate's or Bachelor's degree
    • Manufacturing and/or Union experience.
    • Experience processing Canadian payroll.
    • Experience sourcing vendors and systems that best support business needs.
    • Experience with ADP, including report-writing strongly preferred.
    • Expense report processing experience and familiarity with SAP Concur
    • Project management experience
