    Description
    Our Community Our Kids is offering a $1,500 Signing Bonus for our Intake Manager.

    This bonus be paid out with the first $500 honored with your first paycheck, and the remaining $1,000 honored after 6 months of employment in the role.


    Position Function: Directs, administers, and coordinates the activities of the Agency in support of the policies, goals and objectives established by the Agency Board of Directors, CEO and President.

    Performs the following duties directly or through subordinates:
    Supervises Intake Supervisors on a day-to-day basis. Ensures that youth referred to the Agency are placed in accordance with OCOK regulations, contract requirements and Agency policy/procedures.

    Promotes the well-being of children, participates in staff meetings/trainings, and coordinates with staff from other agencies involved in providing services to children.

    Prepares reports related to placement data and placement outcome performance and utilizes data for setting goals for the department.


    Requirements:


    Education: A Bachelor's degree from an accredited college or university is required; a Masters degree in social work or related field is preferred.


    Experience: A minimum of four years of experience working with children, youth and families in foster care or related experience with some knowledge of the regulations that guide residential services. 2 years of supervisory experience required; 5 years preferred.


    Functional: The Intake Manager will ensure that Intake services operate within established goals. Must have excellent verbal and written communication skills and the ability to work collaboratively with youth, families, collaborating agencies, community professionals, and OCOK/ACH Child and Family Services staff. Must demonstrate knowledge and application of all related standards that govern foster care and residential services. Must demonstrate good organization skills as well as the ability to develop systems that support compliance. Must have excellent training skills and strong leadership/mentoring/coaching abilities. Must demonstrate an ability to utilize data/reports for strategic planning and day to day management. Must demonstrate an ability to continue learning through supervision, continuing education and experience, and work cooperatively using a team approach. Must demonstrate an ability to practice Trauma-Informed principals.


    Working Conditions: Position includes exposure to parents, guardians, and conservators as well as to youth with behavioral problems, including possible physical aggression. Will be required to travel in order to attend meetings, training, or conduct business off site. Must have a valid driver's license and meet agency's underwriting standards if driving on agency business. Will be required to occasionally transport clients. A personal vehicle is required for travel.


    Exposure to Confidential Information: The Intake Manager will have access to confidential records including youth's files, foster care/adoption records, and foster/adopt parent information. Must maintain confidentiality and follow policies related to personnel records and client records.


    Key Expectations/Responsibilities:

    Planning


    • Participates in program development.
    • Implements Trauma-Informed Care practices.
    • Ensures children's placement needs are met with careful consideration of child safety, placing siblings together, placing children close to home, placing children in the least restrictive placement that can meet their needs and ensuring the best placement match based on the child's needs and the home/facility's skills.
    • Participates in developing training curriculum.
    • Participates in supervision meetings as directed/required by the Director.
    • Participates and/or facilitates meetings with collaborating partners and agencies.
    • Participates in other administrative and planning meetings as needed to facilitate referral and placement.
    • Develops and maintains a staff coverage plan that ensures 24/7, 365 coverage of intake responsibilities.
    • Responsible for on-call activities after hours and weekends.
    Implementation


    • Provides regular and consistent supervision Intake Supervisors and provides opportunities for the professional development of assigned staff.
    • Ensures the department is adequately staffed to facilitate the timely placement of children and provision of services provided by Intake Specialists.
    • Makes recommendations to senior staff on initiatives and ideas regarding quality improvement activities within the department's scope of responsibilities.
    • Ensures an accurate system of identifying available resources to satisfy youth's placements is maintained by the Agency.
    • Ensures child assessment tools are properly used to correctly evaluate children referred to the Agency for placements or services.
    • Ensures quantified and measurable data is used during the child assessment phase to make appropriate decisions regarding the type and level of placement for the child.
    • Promotes safety and encourages the least-restrictive and shortest length of out-of-home placement for children.
    • Reviews case documentation on a regular basis to monitor contract compliance.
    • Liaison with other agency programs.
    • Serves as a Super Skilled User for TDFPS IMPACT system and related activities to the SSCC Region 3b.
    • Assists in reviewing and revising policies and procedures as needed.
    • Monitors and reviews placements made by Intake Specialists to ensure adherence to placement outcome goals as mandated by Agency's contract requirements.
    • Communicates youth's needs and concerns to residential program and/or child placing agency.
    • Assists staff in handling crisis and emergencies which are called in to the department.
    • Maintains a close working relationship with public and private agencies involved in providing services/support to children and families.
    • Ensures up-to-date listings of agency care providers and licensing capacity.
    • Oversees 24-hour Region 3b intake and placement services.
    • Monitors contract outcome measures with emphasis on the placement activities conducted by Intake Specialists.
    • Utilize data/reports for strategic planning and implementation directly correlated to outcomes.
    • Analyze and review all split siblings to implement a plan for reunification.
    • Tracking of all kinship breakdowns.
    • Analyze, review, and implement plans to ensure children are within 50 miles of their removal address.
    • Review of exceptional care rates and services prior to placement, to include all supporting documentation is up to date and accurate.
    • Implement strategies alongside the Therapeutic Support Dept. for least restrictive placements.
    • Completes documentation and forwards reports containing descriptive, analytical and evaluative content.
    • Coordinates with Agency's Quality Improvement and Contracts Specialists to ensure compliance of network providers as it relates to placements.
    • Refrains from assuming any duty that is unrelated to and/or interferes with the responsibilities of the position.
    • Advocates, promotes and practices cultural sensitivity and responsiveness in all day-to-day interactions.
    • Develops, promotes and practices teamwork in all activities.
    • Completes other duties as assigned by the Director.
    Supervision


    • Carries out supervisory responsibilities in accordance with the Agency's policies and applicable laws. Responsibilities include interviewing, hiring and training employees; planning, assigning and directing work; appraising performance, rewarding and disciplining employees; addressing complaints and resolving problems.
    • Directly supervises employees as denoted on the OCOK Organizational Chart in accordance with federal, state and/or COA requirements.
    Training


    • Attends relevant in-service training offered at ACH to expand knowledge of services and the application of clinical skills.
    • Attends mandatory trainings such as, but not limited to, Emergency Behavior Intervention (SAMA), CPR and First Aid, Psychotropic Medications and Trauma-Informed Care training.
    • Communicates regularly with supervisor and seek supervision when appropriate.
    • Attends continuing education necessary to expand knowledge and maintain certifications or licenses.
    • Notifies supervisor properly when absent.
    • Completes assignments on time.
    • Establishes effective working relationships with co-workers.
    • Deals satisfactorily with and acknowledge work-related stress.
    • Maintains appropriate boundaries between professional and personal issues.
    • Adheres to all policies and procedures of the agency and its accrediting and standard setting bodies, such as Council on Accreditation (COA) and state licensing.
    • Respects the dignity and worth of all clients and families.
    • Maintains client confidentiality per agency standards and all applicable codes of ethics.
    • Uses outside professional collaboration and intra-agency teamwork appropriate to the agency.
