    The Position:

    The Case Management Administrative Assistant ("CMAA") will perform a wide range of administrative and office support activities to facilitate the efficient operation of the office and the overall organization.

    Additionally, they will provide support to the Case Management Team.

    The successful CMAA candidate must have the ability to communicate effectively, be motivated, be efficient & effective, and have superior organizational skills.


    Essential Duties and Responsibilities:

    • Answering and directing phone calls and messages to the appropriate staff members.
    • Greeting visitors to the organization and directing them.
    • Processing and directing mail and handling all incoming and outgoing deliveries.
    • Scheduling meetings and appointments and managing the office calendar and conference room calendars.
    • Preparing conference rooms and hospitality needs for depositions and various meetings and cleaning up afterwards.
    • Maintaining Lead Response Time Tracking Log.
    • Assisting in the planning and coordinating of company events.
    • Daily organization of break room and restocking supplies.
    • Ordering and maintaining inventory of office supplies and services, such as water delivery, paper shredding, cleaning, etc.
    • Overseeing the operation of office equipment; maintaining supplies and coordinating service calls.
    • Being a point of contact for a wide range of staff and external stakeholders.
    • Assisting executives with their calendars and various other administrative tasks.
    • Making travel arrangements for executives.
    • Obtaining and providing remote notary services.
    • Provide support services to a team of case managers including, but not limited to, the following tasks:o Closing out cases.o Monitoring imaging in Ambra.o Tracking case counts daily.o Preparing deposition folders, medical exam folders, and trial folders.o Other duties as assigned.

    RequirementsComputer Skills:
    High proficiency with MS Office (specifically Outlook, Word, Excel, and PowerPoint), Adobe Systems, Clio, and SharePoint.
    Ability to learn additional application software tools.

    Physical Demands and Work Environment:
    Frequently required to sit and use hands/fingers to handle, feel and to manipulate keys on a keyboard. Must be able to lift up to 30 pounds. Must be able to walk, stand, and work for extended hours. Requires visual acuity sufficient to recognize people, words, and numbers, including close vision.

    Requires speaking and hearing ability sufficient to hear over the phone and carry-on routine conversations both over the phone and in person.

    Typical office work environment. Required to operate a personal computer, photocopy machine, facsimile machine, calculator, telephone, etc.
