    ADMINISTRATIVE ASSISTANT III- PLANNING DIVISION

    Department: Community and Economic Development

    Division: Planning

    Pay Grade: GRADE 10: $43,079.76 to $64,619.64 Annual Salary ($ $31.07 Hourly rate)

    FLSA Status: Non-Exempt, Full-Time, Eligible for Benefits


    ADMINISTRATIVE ASSISTANT III - GENERAL SUMMARY

    This position performs a wide variety of responsible, confidential, and complex administrative, secretarial, and clerical duties for a city division and provides information and assistance to the public regarding the division to which it is assigned. Receives general supervision from management staff.

    ESSENTIAL JOB FUNCTIONS FOR THE ADMINISTRATIVE ASSISTANT III

    • Provide information and assistance to the public regarding department activities, policies, projects, and general information.
    • Recommend improvements in workflow, procedures, and use of equipment and forms.
    • Maintain a calendar of activities, meetings, and various events; coordinate activities with other city departments, the public, and outside agencies; screen office and telephone callers.
    • Respond to complaints and requests for information on regulations, procedures, systems, and precedents relating to department projects and programs.
    • Type and proofread a wide variety of complex and confidential reports, letters, memoranda, statistical charts, and spreadsheets; type from a rough draft or verbal instruction; independently compose correspondence related to assigned responsibilities; assist in preparing comprehensive reports, minutes of meetings, and agendas for meetings.
    • Post information to and update website information.
    • Compile annual budget requests; recommend expenditure requests for designated accounts; monitor approved budget accounts; perform special projects and assignments as requested; organize and maintain complex technical filing systems.
    • Compiles commission and committee packets for public meetings and distributes.
    • Perform general clerical work including filing, scheduling appointments and meetings, and processing payroll.
    • Process and track purchases and reconcile bank statements.
    • Operate a variety of office equipment including a computer and multi-use printer.
    • Take and transcribe official meeting minutes for commission and committee. Requires working after regular business hours minimum four times a month.
    • Provide technical support in the absence of technical staff.
    • Coordinate travel and education arrangements for department staff and commission as needed.
    • Support various redevelopment, development, and predevelopment projects as part of highly visible project areas within the city.
    • Coordinate with staff as they oversee the work of outside consultants.
    • Prepare and monitor third-party contracts.
    • Support the development and monitoring of goals, objectives, policies, and priorities for assigned areas of responsibility; identify resource needs; recommend and implement policies and procedures.
    • Support research, writing, and reporting of grant applications.
    • Support and manage contracts with consultants and developers.
    • Assist staff in research needed to interpret, apply, and explain a variety of ordinances affecting the city.
    • Respond to Requests for Proposal by deadlines established.
    • Attending a variety of meetings; assist staff as needed with developer negotiations; prepare appropriate reports as directed.
    • Support staff as they coordinate and manage public meetings and petitions.
    • Support staff as they coordinate, manage, and negotiate financial projects, contracts, negotiations, and public financing mechanisms.
    • Participate in safety and risk management activities; take action to reduce liability to the city.
    • Attendance and punctuality are essential functions of this position. Employee is required to work as a team and frequently meet with co-workers and supervisors; employee is required to communicate in-person with the public during office hours; and employees are required to use on-site equipment.
    • Perform other related duties as required/assigned.
