    Job Description:

    The Assistant to the Dean (ATTD) will provide a wide range of executive, administrative, and operational support to the Dean of the Jay and Patty Baker School of Business and Technology (the Baker School), including high-level, confidential, and professional functions. The ATTD directs the daily administrative operations of the Deans office, serving as a consultant to the Dean on all matters pertaining to the functioning of the Baker School, providing leadership and direction to ensure the effective operation and delivery of programs within the Baker Schools 10 majors. The ATTD functions as a gatekeeper to ensure prioritization of the Deans time.

    Responsibilities & Essential Functions
  • Proactively support and oversee Dean's day-to-day administrative support needs.
  • Supervise staff in the Office of the Dean; oversee staff operations in 10 Baker School programs.
  • Provide and oversee high-level administrative support in the Office of the Dean, including faculty hiring, departments' tenure and promotion processes (CCE, reappointments, promotions).
  • Provide and oversee high-level operational support in the Office of the Dean.
  • Provide assistance and oversee administrative planning for Office of the Dean events, initiatives, and projects, including accreditation activities (ACBSP and Middle States), special projects, scholarships, etc.)
  • Assist with the Baker Scholar program including review of applications, counseling of students, collaborating with advisors, etc.
  • Plan, execute, and manage special projects according to deadline and within budget.
  • Write, edit, and/or proofread multiple documents, correspondence, confidential letters, promotional pieces, and online/virtual publications.

    Requirements:

    Minimum Qualifications:
  • Bachelor's degree required.
  • Minimum of 3-5 years of professional work experience in a complex administrative unit or 5 years of experience as an executive assistant.
    Preferred Qualifications:
  • Master's degree, preferably in higher education, business administration, public administration or professional studies preferred.
  • 7+ years of professional experience in an academic/higher education setting or a non-profit environment, providing support for senior level leadership preferred.
  • Certification in Microsoft Office Suite, Google Suite, or Project Management Software.
    Knowledge, Skills, & Abilities:
  • Administration and Management: strategic planning, resource allocation, leadership technique, project management, organization, multitasking skills, coordination of people and resources, project management, creative thinking; corporate technology (Banner, Brio, Finance Enterprise, LMSs, other proprietary data management systems; office procedures such as managing files and records, workplace terminology, customer service, accounting principles and practices, labor relations, marketing strategies, and tactics. Communications, dissemination techniques, and methods.
  • Communications: excellent writer and editor to communicate as appropriate for the needs of the audience, strong comprehension and ability to convey information effectively, taking time to understand the points being made, asking questions as appropriate, good judgment, tact, diplomacy, discretion, and ability to maintain confidence.
  • Critical Thinking: identifying complex problems and reviewing related information to develop and evaluate options and implement solutions.
  • Evaluating and enhancing individual, team, or organizational performance, coupled with effective time management skills for self and others.

    Salary

    Salary: $85,860- $92,006 per year

    The UCE-FIT Collective Bargaining Agreement (CBA) dictates the compensation, benefits, and conditions of employment. Hiring Salary: $85,860- $92,006 per year with step increments per Salary Schedule 96, after one year of service and annually thereafter.

    Work Schedule

    Days/Hours: M-F, 9am-5pm, in person; work schedule subject to change based on needs of the department.
