    General Summary

    Are you detail-oriented and tech-savvy, with a talent for keeping critical information accurate and organized? As a Technical Office Specialist, you will provide essential support for adult specialty court programs by serving as a subject matter expert in Circuit Court software applications and third-party databases such as DCCMIS. This role is responsible for mission-critical data entry, generating routine and specialized reports, supporting grant tracking requirements, and assisting with treatment court activities. You will also help train staff on specialized systems, support team operations, and ensure confidentiality requirements are consistently followed.

    What You'll Do:

    • Serve as a subject matter expert in Circuit Court software applications and third-party databases such as DCCMIS.
    • Perform accurate data entry in mission-critical systems and maintain treatment court tracking information.
    • Create and distribute regular, special, and periodic divisional reports, including reporting required for grant funding.
    • Train staff on specialized departmental software applications, forms, and related processes.

    Minimum Qualifications

    SUPERVISION EXERCISED

    Functions as a lead worker and may train or direct entry level clerical staff, students, summer employees, and college interns.

    ESSENTIAL JOB FUNCTIONS

    Updates information in County, State of Michigan, and vendor applications and generates regular and ad hoc reports. Develops reports as needed.

    Conducts research for various reports as assigned by professional staff. Gathers information from forms, reports, computer systems & web sites containing public records, reports, divisional files, etc. Performs calculations and prepares detailed spreadsheets and/or reports.

    Utilizes client information systems to aid in monitoring progress, recidivism, compliance with case plan, and milestone achievements.

    Using personal computer applications to compile and analyze data in response to specific questions and inquiries of professional or administrative staff.

    Works with professional staff to support youth and families in community-based programs. Tracks relevant information, prepares and/or maintains case files as needed, and may provide reporting information.

    Trains staff in the use of Court software applications and systems such as Youth Center.

    Attends training sessions to maintain and update personal knowledge and retain the ability to effectively assist and train departmental personnel.

    Participates in staff meetings and program team meetings as directed.

    Utilizes current countywide and/or department specific software to complete assignments.

    ADDITIONAL DUTIES & RESPONSIBILITIES

    May assist Quality Assurance contractor with data processing.

    May work with SCAO or vendor to request special assistance.

    May assist departmental personnel in validation of invoices for reimbursement to Child Care Fund.

    Responds to various questions from youth and families, attorneys, and the public regarding general program information and processes.

    Assists administration with special projects and/or events.

    Prepares case related mailings

    May order and maintain office supplies.

    ESSENTIAL MENTAL & PHYSICAL REQUIREMENTS

    Ability to communicate to accurately convey information.

    Ability to produce reports in multiple formats.

    WORKING CONDITIONS

    Work is performed in a typical office environment.

    May participate in activities that require travel to another worksite or location such as Hall of Justice.

    May participate in activities that require driving or being a passenger in an automobile or bus.

    IMPORTANT NOTE: The primary purpose of this job description is to set a fair and equitable salary range for this job classification.     EXPERIENCE, TRAINING, KNOWLEDGE, SKILLS & ABILITIES

    A. REQUIRED MINIMUM QUALIFICATIONS

    1. Must be a high school graduate or have a certificate of successful completion of the General Education Development (GED) Test.

    2. Have had four (4) years of increasingly responsible experience assisting professional level staff in the compilation and preparation of divisional reports or performing data input and maintenance; at least one (1) year of which included the use of specialized departmental software applications.

    NOTE: Course work at an accredited college, university, business, or commercial school in a related area may be substituted for up to three (3) years of the experience on a year‐for‐year basis.

    B. ADDITIONAL DESIRABLE QUALIFICATIONS

    1. Considerable ability and skill in compiling and abstracting divisional data in preparing special and annual reports.

    2. Considerable knowledge of and ability to utilize current word processing, spreadsheet, database, e-mail, and Internet software.

    3. Reasonable knowledge of the methods of conducting research and evaluating collected data.

    4. Reasonable ability to prepare and present effective written reports, graphs, and charts.

    5. Reasonable ability to make and carry out administrative directives in accordance with divisional policies and procedures.

    6. High level of accuracy entering data into a computer system.
