We are looking for an HR Coordinator that will play a key role in shaping and enhancing the employee experience. This person is responsible for planning and executing internal initiatives related to social and life events, internal communications, training and development, wellness, as well as community engagement and corporate giving. The role also includes front-desk responsibilities such as greeting visitors and answering phone calls.
What You'll Do
Reception, administration and accounting corporate support
- Receive, sort, and distribute daily mail and deliveries;
- Ensure timely processing of daily customer deposits;
- Reconcile and monitor the corporate credit card;
- Perform other duties as required by the Accounting Department;
- Provide a professional and welcoming first point of contact for clients, suppliers, and prospective candidates;
- Answer, screen, and route incoming calls efficiently;
- Manage and monitor the Foliot general email inbox;
- Handle incoming and outgoing mail and courier services, including UPS;
- Maintain and update phone lists, coordinate various calendars, and manage office supply inventory.
HR Support
- Perform a wide range of administrative transactions throughout the employee life cycle, including recruitment, hiring, onboarding, transfers/promotions, and terminations;
- Welcome new employees, take photographs, and prepare employee identification cards;
- Coordinate and maintain accurate administrative management of employee records;
- Prepare HR-related correspondence and documentation, including employment confirmations, offer letters, and required forms;
- Update and maintain various HR and corporate reports (headcount, performance metrics, KPIs, etc.);
- Participate in and support various special projects as needed.
Requirements
- Required Bilingualism (English and Spanish)
- 2-3 years of relevant experience;
- Background in Human Resources & Administration or related field (an asset).
- Strong customer service orientation providing a cheerful and helpful experience.
- Comfortable managing confidential information with discretion and professionalism.
- Highly organized and detail-oriented, able to handle multiple priorities independently.
- Capacity to thrive in a fast-paced, ever-changing environment.
- Dynamic, positive and energetic approach
- Proficient in Microsoft Office Suite; familiarity with tools like Canva, Mailchimp, or expense management platforms is an asset.
- Knowledge of ADP Workforce Now or an HRIS (an asset);
