About Love to Code Academy

Love to Code Academy is a structured, in-person, coach-led coding academy serving students ages 5 to 18 in Liberty, Missouri. We help families raise confident, capable, future-ready young leaders through guided instruction, real-time feedback, and a safe, supervised environment. Coding is the vehicle. Confidence, character, and leadership are the outcome.

Role Overview

This role is the enrollment engine for Love to Code Academy. You will own the full process from inquiry to enrolled student, and you will support key program operations during class hours to keep our academy experience organized, professional, and consistent.

Time focus is typically:

  • 60 to 70 percent Enrollment and Admissions
  • 30 to 40 percent Program Operations

Primary Responsibilities Enrollment and Admissions (Top Priority)

  • Respond to new inquiries via phone, text, and email
  • Follow a consistent follow-up cadence until families enroll or opt out
  • Qualify families by student age, readiness, goals, and schedule
  • Schedule and run academy tours using a clear parent-trust script
  • Drive workshop registrations, confirmations, and post-event follow-up
  • Guide families through registration, payment, and start dates
  • Ensure smooth onboarding during the first 2 to 4 weeks
  • Maintain accurate records in the CRM with clear next steps
  • Report weekly enrollment metrics and pipeline status

Program Operations (Support)

  • Manage rosters, attendance, waitlists, and makeup scheduling
  • Coordinate schedule changes and instructor coverage with minimal disruption
  • Communicate with parents regarding schedules, reminders, policies, and onboarding
  • Support a consistent, structured check-in and check-out process during class hours
  • Keep classrooms prepared for smooth sessions (basic readiness, supplies, student lists)
  • Identify retention risks early and execute a save plan (missed classes, confusion, disengagement)
  • Document recurring issues and help improve systems over time

What Success Looks Like

  • Leads are contacted quickly and consistently moved toward a booked tour or workshop
  • Tours and workshops have strong show rates and reliable follow-up
  • Enrollment becomes predictable and trackable week to week
  • Families experience a professional, structured, safe environment from day one
  • Daily operations stay organized, even during busy class times

Key Performance Indicators (KPIs)

Enrollment:

  • New enrollments per week and per month
  • Tours and workshops booked per week
  • Show rate for tours and workshops
  • Close rate from tour or workshop to enrollment
  • Speed to lead (time from inquiry to first contact)

Program health:

  • Retention and re-enrollment signals
  • Attendance consistency
  • Parent satisfaction signals and reduced friction
  • Operational reliability (smooth substitutions and minimal cancellations)

Qualifications Required

  • Experience in admissions, inside sales, customer success, or enrollment (education services is a plus)
  • Confident communicator with parents and comfortable asking for the enrollment
  • Strong organization and follow-through with multiple active conversations
  • Comfortable working late afternoons and evenings during class hours
  • Professional, calm, and solutions-focused under pressure

Preferred

  • Experience in youth programs, tutoring centers, enrichment academies, or similar
  • CRM experience (VBOUT, HubSpot, or similar)
  • Experience coordinating schedules, rosters, or customer operations

Additional Requirements

  • Must be able to pass a background check
  • Must be comfortable working in an environment with children and families
