    Description


    The Operations Coordinator will serve as a key partner for the department to coordinate efficient day-to-day operations and serve as the primary contact for various operational needs.

    The principal functions/contributions are 1)

    Administrative Support, 2) Human Resource Support, 3) Budgetary Support, 4) Facility/Resource Management, 5) Departmental Support, 6) Receptionist Support, and 7) Special ProjectsESSENTIAL FUNCTIONS AND RESPONSIBILITIESAdministrative Support:
    Maintains comprehensive records (such as financial, personnel, administrative, and inventories); Prepares correspondence, reports, and other material using word processing, spreadsheets, and databases; Manages departmental email inbox; Manages office supply inventory and orders; Maintains cloud storage keeping data and documents organized and accessible; Meeting minutes at administrative and other meetings; and Coordinate travel and logistics as requested

    Human Resource Support:
    Initiates human resource processes as requested; Oversees onboarding, offboarding, and training of new employees

    Budgetary Support:
    Acts as the budget coordinator working closely with the department head to manage the department budget and forecast needs including budget reports, maintains financial documentation, and reconciles expenses; Submits requisitions, payment, and contract requests, sponsorships, and other purchase orders as requested; Coordinates annual budget planning process for the departmentFacility/

    Resource Management:
    Ensure smooth daily office operations, working with IT, Facilities Management, and Access Control for any office maintenance or IT issues; ensure staff has all the necessary resources to meet business objectives; maintain an accurate account of university-owned inventory; Coordinate department moves and remodeling projects; Manage/keep storage areas organized; Maintain lifecycle management of university equipment; Facilitate internal/external room requests (25Live)

    Departmental Support:
    Provides overall department support for various business functions; Plans/executes department You Matter initiatives, employee engagement programs, and planning team bonding/training initiatives; Offers feedback, thought partnership, and advice to drive continuous operational improvement

    Receptionist Support:
    Performs duties related to the organization and implementation of an efficient and effective front desk or manages student workers for front desk operations; Acts as the first point of contact for office visitors; Uses Swiper to check in all visitors; Notifies personnel of appointment's arrival; Keeps front desk and lobby area tidy and presentable; Accepts mail/packages and distributes; Answers and directs all incoming phone calls

    Special Projects:

    Contributes to departmental and university goals by executing special projects as assignedE-commerce Management: Manage LU ONE online store including sales, inventory, and all other related dutiesSUPERVISORY RESPONSIBILITIESThis position is responsible for one or more student workers.


    QUALIFICATIONS AND CREDENTIALSEducation and ExperienceMinimum Qualifications:

    Bachelor's degree or experience in a related field; extensive knowledge of Microsoft Office and other technology skills; Must be proficient in Microsoft Excel; exhibited supervisory skills; great communication skills and ability to work with a diverse student population; extraordinary interpersonal skills to establish working relationships with other departments; quick learner and self-starter; ability to multi-task and work productively in a fast-paced environment.

    ABILITIES AND COMPETENCIES ESSENTIAL TO THE FUNCTION OF THE JOBCommunication and ComprehensionAbility to effectively communicate both verbally and in writing to convey clear, well-articulated information.

    Ability to understand, speak, and write English to convey messages and correspond articulately and professionally.

    Possess public communication skills that allow professional representation of Liberty University to a variety of business, government, and community customers and associates.

    Strong organizational skills.
    Excellent purchasing systems and computer skills.

    Problem-SolvingIntuitively able to reason, analyze information and events, and apply judgment to solve problems of both a routine and complex nature.

    Physical and Sensory AbilitiesOccasionally required to travel to local and campus locations.
    Frequently required to sit for extended periods to perform deskwork or type on a keyboard.
    Regularly required to hear and speak to effectively communicate orally.
    Occasionally required to stand, walk, and climb stairs to move about the building.
    Handle materials, reach overhead, kneel, or stoop to conduct business.
    Regularly lift 10 or fewer pounds.

    WORKING CONDITIONSWork EnvironmentThe working environment in which one will typically perform the essential functions of this position is a climate-controlled office setting.

    It is well-lighted, and the noise level is moderate.

    Driving RequirementsUse of one's personal vehicle (or LU vehicles) may be required for travel in the performance of the essential functions of this position.

    Proof of a valid Virginia driver's license, an acceptable DMV record, and liability insurance is required.
