    Primary Purpose of the Organizational Unit:

    The Dean's Office of the Bryan School of Business & Economics manages resources and coordinates critical functions to enable nationally-ranked departments and programs within the Bryan School to operate efficiently while preparing students to perform successfully as business professionals in the global economy. Key constituents of the Dean's Office (and all the positions therein) include: six academic departments, four administrative offices, more than 4,100 students, 24,000 alumni, as well as countless employers and organizations in the community.

    Position Summary:

    The Assistant Director of Events Management and Stakeholder Engagement in the Bryan School of Business and Economics plays a vital role in engaging and energizing important constituents of the Bryan School. The position is responsible for the planning and execution of large-scale career and professional development events for students, as well as fostering meaningful connections with alumni, business/employer partners, and donors through signature events and other engagement activities. The position also provides events management support to other Bryan School events such as recruitment and social/networking events. The position collaborates closely with the School's marketing team to develop effective marketing and communications plans, while also building and maintaining accurate records and databases. Desired outcomes include improved student engagement, student learning and employment, employer and corporate relationships, alumni participation, and donor engagement. All these events are designed to assist in building the brand of the Bryan School.

    This position requires a highly engaging, extroverted personality with exceptional organizational and project management skills, contributing to the successful execution of events by managing tasks, timelines, budgets, and priorities. This position represents the business school with strong public-speaking capabilities and maintains a "service-oriented" customer focus, ensuring all events meet the needs and expectations of students, alumni, and donors while also contributing to the success and growth of the business school. This position works independently in a team-based culture of performance. The position may supervise student workers, as assigned.

    The position also includes other duties as requested by the Assistant Dean of External Affairs or Dean of the Bryan School.

    Minimum Qualifications:
    • A Graduate Degree in a related field; OR a Bachelor's Degree with two years of related experience is required.
    Preferred Qualifications:
    • Proven experience in organizing and implementing successful business or social events for large audiences, preferably in a higher education setting.
    • Strong organizational, project management, and multi-tasking skills with attention to detail and a commitment to meeting deadlines.
    • Highly engaging, extroverted personality with exceptional interpersonal, social, and problem-solving skills.
    • Excellent oral and written communication skills. Strong public-speaking capabilities.
    • Successful experience with event budget management.
    • Proficiency in event/email marketing software and database/CRM platforms.
    • Ability to work independently and collaboratively within a team-based, dynamic work environment.

    Essential Tasks:
    • Events Management: Plan and execute annual calendar of strategic events focused on student career and professional development and new student recruitment. Examples include but are not limited to the Bryan School's annual Back-2-Business Party, Professional Development Conference, Company Mixer/Career Fair, Bright Futures etiquette Dinner, and new student recruitment events.
    • Event Planning: Develop a thorough understanding of the event objectives and requirements. Create a comprehensive event plan outlining timelines, tasks, and responsibilities. Establish budgets and allocate resources appropriately.
    • Venue Selection and Logistics: Identify suitable event venues based on the size, type, and objectives of the event. Negotiate contracts with venues and other service providers. Coordinate logistics such as transportation, accommodations, and catering.
    • Budget Management: Develop and manage budgets for events, ensuring financial targets are met. Monitor and control expenses throughout the planning and execution phases.
    • Vendor Management: Select and manage relationships with vendors, contractors, and suppliers. Coordinate services such as catering, audio-visual, security, and transportation.
    • Coordination and Execution: Oversee the on-site coordination of all aspects of the event. Manage event staff and volunteers to ensure smooth execution. Address any issues or emergencies that may arise during the event.
    • Risk Management: Identify potential risks associated with the event and develop contingency plans. Mitigate risks during the planning and execution phases.
    • Post-Event Evaluation: Conduct post-event evaluations to assess the success of the event. Gather feedback from participants, sponsors, and stakeholders. Analyze the effectiveness of the event against predefined objectives. Identify areas for improvement and implement changes for future events.

    • Event Marketing: Collaborate closely with the Bryan School marketing team to formulate comprehensive event marketing strategies. Create compelling promotional materials to enhance event visibility and drive attendance, including digital content, print collateral, and social media assets, tailored to target audiences such as students, business/employer partners, alumni, and donors.
    • Stakeholder Communication: Establish and maintain clear and consistent communication channels with internal and external stakeholders. Provide regular updates on the progress of event planning, addressing milestones, challenges, and successes. Cultivate positive relationships with key stakeholders, ensuring their needs and expectations are understood and addressed.
    • Event Registration and CRM (Customer Relationship management) process: Develop and manage a streamlined event registration process, ensuring a user-friendly experience for attendees. Implement and oversee a CRM process to effectively capture and manage stakeholder information and engagement.

    Essential Tasks:
    • Alumni Communication: Develop web and email/newsletter communication strategy and content to increase alumni participation in Bryan School events and activities. Maintain a qualified database of alumni contacts for use in marketing activities.
    • Volunteer Management: Recruit alumni volunteers and ambassadors to assist with Bryan School events, including student/alumni networking mixers, guest speaking opportunities, panel discussions, outreach/recruitment, and social gatherings targeted at alumni.
    • Act as liaison for the Bryan School Alumni Association. Foster relationships with alumni leaders to create a network of engaged volunteers for future events.
    • Data Analysis and Reporting: Track and analyze alumni engagement metrics to assess the success of events and identify areas for improvement. Generate regular reports on attendance, feedback, and alumni participation trends.
