Puckett Machinery Company is the Caterpillar heavy equipment, rental services, and power systems dealer for central and southern Mississippi. As the industry leader in our territory with 15 locations, helping our customers succeed is our number one priority.
We are seeking a dynamic detail and customer-oriented **Sales Coordinator** to support sales administration activities at our rental services headquarters in Richland. We offer competitive hourly compensation, great benefits, and a standard workweek schedule.
The Sales Coordinator, Rental Services is accountable to provide internal sales, administrative, planning, and coordination support to the rental services department in the areas of quote preparation, billing/invoicing, inventory management, order fulfillment, finance, and other department-related support activities and tasks.
Essential Functions, Duties, and Responsibilities:
Administer the lifecycle of the equipment sale process and maintain regular contact with internal customers throughout. Therein, execute the preparation and tracking of equipment quotes, rental purchase option (RPO) quote/contract, warranty, governmental bids, and other sales related documents; coordinate and submit deals to finance company for lease quotes and credit approval; prepare and process all necessary documents for invoicing transactions, post sales credits and adjustments, and perform related reporting in accordance with all prescribed company policies, procedures, and metrics; coordinate the order fulfilment process by notifying and directing all service, transportation, etc. personnel involved to fulfill order.
Administer and maintain all online listings of used equipment for sale and rental on the open market. Maintain related document preparation and reporting in accordance with all prescribed company policies, procedures, and metrics.
Serve as primary backup to the Administrative Coordinator, Rental Services in their absence primarily as it pertains to the preparation of periodic and ad hoc sales operations reporting, maintaining related scorecards and dashboards, maintaining inventory reporting and reconciliations, and post-sale reporting.
Maintain department-related forms, information, and collateral.
Participate in meetings with the sales team to ensure that all parties are updated on work in progress, to keep all stakeholders regularly updated on quoting, financing, and order fulfillment issues, and to update/maintain same in the management information system.
**Job Requirements**
Required Skills, Knowledge, and Experience:
High school diploma **plus** minimum 4-6 years of combined work experience as an accounting specialist in a sales environment supporting multiple branch locations and a high volume of transactional activities.
Excellent verbal, written, and interpersonal communication skills.
Excellent problem solving skills, detail oriented, and ability to work with a high level of accuracy.
Proficiency with MS Office applications (Outlook, Word, Excel) and management information system applications (ex: Rental Man).
Solid understanding of the heavy equipment industry and related sales and credit processes and terminology.
Ability to work independently in a fast-paced, dynamic, and deadline sensitive environment.
Ability to work standard five-day work schedule, including daily overtime, and occasional weekend hours as necessary.
Ability to multi-task and prioritize work load in a fast-paced and deadline oriented environment.
