Job DescriptionTransportation Company needs a Maintenance Clerk this is an Administrative position.
This company provides bus, rail, paratransit, shuttle, sedan and taxi services. They manage over 200 transportation contracts for cities, transit authorities and airports, providing safe and sustainable mobility solutions.
JOB: Maintenance Clerk provides thorough, timely and accurate clerical and administrative support to the Maintenance Department. Collects data and makes reports of work of mechanics, repairs of buses and other vehicles, and fuel consumption. Maintains Maintenance Department files as directed and required.
ESSENTIAL DUTIES/MAJOR RESPONSIBILITIES
Provides advanced clerical/administrative support to the Bus Maintenance Department including:
• Daily reconciliation of hard copy Mechanic Work Orders to data base.
• Reviews and analyzes department reports and data collection documents to ensure compliance with client-determined bus maintenance standards.
• Prepares daily, weekly and monthly reports of maintenance activity, such as road call history, update of daily bus status sheets, fuel sheets, and (occasionally) long term down report.
• Collects and reports data, such as total mileage, total work hours, number of road calls, fuel and oil consumption per bus, for use in preparation of the monthly invoice to client.
• Provides occasional back-up to day-shift parts room, issuing parts and keeping proper inventory of such activity.
• Coordinates with parts & inventory to correctly code invoices for Manager's processing.
• Maintains department seniority list.
• Tracks employee attendance and coordinates with manager on the administration of the attendance program.
• Provides recordkeeping and monitoring of tool allowance expenditures and administers the ASE bonus program for mechanics.
• Enters a variety of data into spreadsheet and database applications.
• Assists Maintenance Training staff in maintaining mechanic training files, safety files
• Provides other clerical and administrative support as required.
REQUIREMENTS OF POSITION Experience:

Knowledge, Skills, Abilities:
• Ability to use the computer, with MS Office.
• Ability to learn RTA and other applicable customized software programs for bus fleet maintenance required.
• The position requires the ability to prioritize tasks and assignments.
• Basic written and oral communication skills required.
• Must have strong organizational skills, and the ability to pay close attention to detail.
• Ability to gather data, enter data into a database or spreadsheet, and compile reports as required.
• Knowledge of/or ability to learn systems, processes, and practices in Bus Fleet Maintenance.
• Must be able to learn the parts for multiple vehicles and manufacturers is required.
• Basic math skills are required. Must be able to perform tasks involving manual dexterity, such as the use of a computer and 10-key. Must be able to lift up to 10 pounds.
Physical Requirements:
• Occasionally works outside in weather conditions, around fumes/odors and chemicals, and around heavy machinery/safety hazards.
• Job entails physical demands such as walking, bending, stooping, sitting, and occasional lifting.
• Duties will normally be performed in an office environment, but with occasional outdoor inspection work.
