    About the Role

    We are seeking a highly organized, proactive, and resourceful Executive Assistant to support our Management Team. This role is ideal for someone who thrives in a fast-paced environment, anticipates needs before they arise, and brings a high level of professionalism to every interaction.

    In addition to executive and operational support, this position requires strong capability in litigation support, subpoena coordination, and contract review. You will play a key role in keeping leadership aligned, operations running smoothly, financial processes supported, and legal workflows executed with accuracy and confidentiality.

    Key Responsibilities

    Executive & Operational Support

    · Manage complex calendars, coordinate meetings, and handle travel arrangements for Management Team like President, CEO and Head of Finance.

    · Prepare agendas, take meeting minutes, and track action items for Management Team.

    · Draft and format presentations, reports, and internal communications.

    · Screen and prioritize communication, ensuring timely and appropriate responses.

    · Support in tracking deadlines, deliverables, and cross‑functional coordination.

    · Assist with any office administrative needs including but not limited to written correspondence, printing and copying forms, and sending out communications.

    · Assist with board materials, leadership reports, and high-level correspondence.

    · Provides high-level administrative and project support to Head of Finance.

    · Organize executive events, leadership meetings, and special projects.

    · Maintain organized filing systems and improve administrative processes.

    Legal, Litigation & Contract Support

    · Manage subpoenas, litigation requests, and legal correspondence.

    · Prepare and organize documents for internal review or outside counsel.

    · Maintain confidentiality and coordinate with legal partners on deliverables.

    · Review and summarize vendor, service, NDA, consulting, and licensing agreements.

    · Maintain contract databases and trackers.

    · Coordinate contract edits and redlines with attorneys and stakeholders.

    · Serve as a liaison between legal, HR, and business teams.

    Qualifications

    · 2+ years of experience supporting senior executives, ideally including finance or legal leadership.

    · Demonstrated experience in litigation support, subpoena coordination, and contract review.

    · Strong organizational and multitasking skills.

    · Excellent written and verbal communication abilities.

    · High proficiency in Microsoft Office (Excel, PowerPoint, Outlook).

    · Comfort working with legal and financial documents and sensitive data.

    · Ability to handle confidential information with discretion.

    · A proactive, solution-oriented mindset.
