    Position Summary

    The Accounts Payable Specialist plays a crucial role within the finance department of our non-profit organization. Reporting to the Director of Finance, this position is responsible for managing the accounts payable process efficiently and accurately, as well as ensuring timely processing and recording of cash receipts. The ideal candidate will have strong attention to detail, excellent organizational skills, and a commitment to our mission of eliminating racism and empowering women.

    Essential Job functions

    • Accounts Payable Management:
      • Process invoices accurately and efficiently, ensuring appropriate documentation and approval procedures are followed.
      • Review and verify invoices and payment requests for accuracy, completeness, and adherence to organizational policies and procedures.
      • Code and enter invoices into the accounting system, ensuring proper allocation to respective programs or departments.
      • Prepare and perform weekly check runs or electronic payments as per established schedules.
      • Respond to vendor inquiries and resolve discrepancies in a timely manner.
      • Reconcile vendor statements and address any outstanding issues.
    • Cash Receipts Processing:
      • Receive, record, and deposit incoming cash, checks, and electronic payments promptly and accurately.
      • Prepare and post cash receipts batches to the accounting system, ensuring proper allocation to relevant accounts and programs.
    • Financial Reporting and Analysis:
      • Provide support for financial audits by ensuring accurate and complete documentation of accounts payable and cash receipts transactions.
      • Assist in generating and evaluating accounts payable aging report for monthly errors.
    • Compliance and Internal Controls:
      • Ensure compliance with relevant accounting standards, tax regulations, and internal control procedures.
      • Identify opportunities for process improvements and contribute to the development and implementation of best practices in accounts payable and cash receipts processing.
    • Collaboration and Communication:
      • Collaborate with other departments to ensure accurate coding of expenses and proper documentation of revenue.
      • Communicate effectively with vendors and co-workers to resolve inquiries and issues related to accounts payable and cash receipts.

    Qualifications

    • An understanding of, and agreement with, YWCA Utah's mission, values and philosophy regarding the elimination of racism, empowerment of women and commitment to anti-oppression work and social justice.
    • Understanding and commitment to issues of cultural diversity and anti-racism.
    • Ability to work scheduled hours on a regular basis, some weekends and evenings required.
    • Proficiency with general office duties, computer systems and technology such as Microsoft Excel.
    • Proficiency in accounting software such as NetSuite.
    • Excellent writing, interpersonal communication, and public speaking skills.
    • Strong attention to detail and accuracy in data entry.
    • Excellent organizational, analytical, and problem-solving skills.
    • Demonstrated ability to work independently, manage time, evaluate progress, and adjust activities to complete projects within established timeframe.

    • If driving on business, a valid Utah driver's license, access to an automobile, and valid auto insurance required.

    Physical/Sensory Demands

    Work is generally performed in a safe office environment. While performing the duties of this job, the employee is regularly required to: sit for long periods of time; use computer to enter data; use telephone to converse with customers and employees; walk and stand for long periods of time; perform repetitive wrist, hand and/or finger movement. Travel to attend conferences, training, outreach and other events occurs routinely. Rarely required to lift up to 30 lbs.
