Position Summary
The Coordinator of Counseling Program Operations (
CCPO) within the College of Education and Human Services ( CEHS ) will work closely with the department chair and Counseling Program Director to coordinate accreditation and assessment efforts with the
CACREP
accrediting body including, the collection, maintenance, and reporting of data. The
CCPO
will work closely with program faculty and staff to support the use of data management and collection systems such as Tevera,
SAP , Qualtrics, and other university systems.
Required Qualifications
Bachelor's degree.
Three years of experience managing a complex office workflow and continuous improvement projects.
Knowledge of laws and university policies related to
FERPA
and
HIPAA
compliance.
Excellent problem-solving skills.
Ability to set priorities to manage multiple ongoing tasks and timelines.
Competence using MS Office Suite and Qualtrics.
Strong interpersonal skills to effectively engage with faculty, staff, and students.
Demonstrated ability to maintain confidentiality related to student and client records.
Ability to perform the essential functions of the position, with or without reasonable accommodation.
Preferred Qualifications
Master's degree.
Experience managing data for reporting and accreditation purposes.
Familiarity with Tevera and data information systems such as
SAP , Data Warehouse, and Watermark.
Working knowledge of the American Counseling Code of Ethics.
Duties & Responsibilities
CACREP
Accreditation Coordination:
Maintains an accreditation tracking calendar along with internal assessment report due dates.
Manages the assessment reporting program, Tevera, which includes student registration, course builds, and student enrollment.
Works with program faculty and the Program Director to ensure assessment rubrics are completed each term.
Compiles, summarizes, and disseminates
CACREP
required Qualtrics surveys.
Facilitates course related data collection and compiles data from
CMU
systems such as Data Warehouse,
SAP , and Tevera for reporting purposes.
Works collaboratively with the Program Director and faculty to prepare annual
CACREP
and
CMU
Outcomes assessment reports.
Works collaboratively with the Program Director to prepare required
CACREP
reports and self-study documents.
Works with the Program Director and program faculty to develop and implement
CACREP
required professional development workshops for site supervisors.
Coordinates mandatory student orientation as needed.
Collaborates with faculty/staff to revise
CACREP
required manuals including the student handbook, internship manual, practicum manual, and other required policy documents.
Program Management:
Collaborates with the Program Director and department chairperson to coordinate support for core and adjunct faculty toward ensuring syllabi are in
CACREP
compliance, Blackboard course shells are populated, and hiring contracts are completed.
Collaborates with the department chairperson and Program Director to oversee and maintain the counseling program schedule and coordinate registration of all practicum, internship, and 0-capped courses.
Coordinates with Innovation & Online (I/O), the Registrar's Office and the Office of Graduate Studies regarding course registrations.Collaborates with the college's Assistant Director of Marketing and Communications to facilitate program-level recruitment efforts.
Assists with website updates, recruitment, and various marketing initiatives as needed.
Responds to inquiries about the Counseling Program.
Maintains counseling program SharePoint folders, advising folders, program plans, and the counseling list database.
Compiles Qualtrics data following admission group interviews to determine admission decisions.
Coordinates admission processes with program faculty and staff.
Organizes the non-credit learning options developed by the department.
Maintains confidential files and records related to patient care,
HIPPA , and
FERPA.
Performs other duties as assigned.
