Position Overview

We are seeking a highly organized, discreet, proactive and detail-oriented Executive Operations Assistant to support the Director across administrative, financial oversight, purchasing coordination and executive-level logistics.

This is not a traditional assistant role.

This position is designed for someone who wants to operate at the center of a growing business, supporting high-level decision-making while managing operational details with precision and confidentiality.

The ideal candidate is structured, reliable, tech-savvy and capable of handling multiple priorities in a fast-paced entrepreneurial environment.

Core Responsibilities - Executive & Administrative Support

  • Manage and organize executive email inbox and communications
  • Calendar management, scheduling and priority coordination
  • Travel planning (business and occasional personal logistics)
  • Prepare executive summaries, reports and follow-ups
  • Set reminders and track key deadlines (financial, legal, operational)
  • Coordinate payments related to business and executive obligations

Financial Oversight & KPI Support

  • Assist in supervising accounting processes (AP/AR tracking, reconciliations follow-up)
  • Coordinate with external accountants and tax advisors
  • Support preparation of KPI dashboards and financial summaries
  • Monitor expense reports and vendor payments
  • Maintain organized financial documentation

Purchasing & Supply Chain Coordination

  • Request and compare supplier quotations
  • Track purchase orders and shipment timelines
  • Assist with landed cost analysis and vendor performance tracking
  • Monitor inventory levels and replenishment needs
  • Support supplier negotiations and documentation
  • Potential future travel to visit key suppliers if required

Executive Logistics & Personal Coordination (Professional Scope)

  • Coordinate appointments, renewals, payments and time-sensitive matters
  • Organize documentation related to family or executive matters
  • Handle confidential matters with discretion and professionalism
  • Ensure smooth day-to-day executive operations

This component is administrative and logistical in nature and does not include non-professional errands.

Qualifications

  • Fully bilingual (Spanish & English – written and spoken)
  • 3+ years in administrative, executive assistant or operations support roles
  • Strong Excel skills (formulas, analysis, comparisons)
  • Organized, structured and detail-oriented
  • High level of discretion and ethical standards
  • Ability to multitask in a high-performance environment
  • Experience with purchasing, logistics or accounting support is highly valued
  • Familiarity with ERP systems or financial software is a plus
