    Job Summary

    PIC Group has an excellent opportunity for a Contract Administrator to support the proposal development process for each Line of Business including Staffing Services, Documentation & Training Services, and O&M Services.

    Reporting to the VP of Commercial and located out of the corporate office in Atlanta, GA, the Contract Administrator is responsible for administration of commercial documents and associated turnover of each Project to Operations.

    The Contract Administrator plays a vital role supporting document control throughout the commercial process while maintaining qualified status throughout the project.

    The Contract Administrator works closely with other stakeholders supporting the Project(s) to ensure that the requirements of the individual contracts are successfully delivered.

    Essential Duties And Responsibilities

    Responsibilities include but are not limited to:
    Administration of commercial documents, including commercial agreements, change orders and amendments, including maintaining compliance with the document control process.

    Administration of the commercial turnover process to accounting and operations, including processing budgets, work orders, POs, and contracts for routing of internal approval via electric approval application software.

    (i.e. DocuSign or Signing Hub)

    Initiate the application for credit risk assessments for new clients, administrate annual renewal of credit risk assessments for active clients.

    Initiate requests for Certificates of Insurance (COI) for new contracts, administrate annual renewal of COIs for existing contracts.
    Supporting commercial process with application and receipt of bid bonds.
    Administrate and maintain vendor qualification status within customer web portals.
    Respond to RFPs and submit proposals through customer bid portals websites, including maintain bid compliance documentation.
    Administration of commercial and marketing related vendor invoices for submittal and payment per accounting processing.
    Maintain project related commercial documents within CRM system, including NDAs, executed contracts, and other relevant commercial documents.

    Support the commercial team with submittal of documents for a response to Request for Quotations (RFQ), Request for Proposals (RFP), Request for Information (RFI), and vendor pre-qualification requests.

    Coordination of the inter-department work activities when developing proposals, work orders, change orders and other commercial documents.
    Job Requirements
    Ability to manage time, priorities, and resources effectively.
    Strong ability to communicate both written and verbal.

    Ability to collect data from verbal input as well as hard copy documents; then distill this input into concise Proposals that can be easily read and comprehended.

    Strong editing and proofreading skills with the ability to work to deadlines.
    Skilled with and has the ability to comprehend cost models in support of the commercial turnover process.
    Proficiency in document formatting using MS Office, MS CRM, MS Excel, and the Internet.
    Ability to engage with internal departments (Executive Management, Sales, Legal, Accounting, Line of Business Managers) as required.
    Physical Requirements
    Ability to sit for prolonged periods of time at a desk and work on a computer.
    Ability to use hands to finger, handle, or feel; reach with hands and arms and talk or hear.
    Occasionally required to stand and walk.
    Must occasionally lift and/or move up to 10 pounds.
    Education / Experience
    High School Diploma is required.
    1 to 3 years' experience in administration of commercial management processes and procedures is required.
    Bachelor's degree in engineering, business, or technical is preferred.
