    The WAM Events Associate (Principal Office Specialist) position is a full-time, union-represented role, with all the attendant University of Minnesota employee benefits. This position reports to the Events Manager and assists with production support, student staff, scheduling, event planning and management. The Events Associate works variable hours, depending on the events schedule, and includes nights and weekends.

    RESPONSIBILITIES:

    Event Staffing & Support - (50%)

    ? Serve as principal on-site staff member during WAM after-hours events. Works most evening and weekend events at WAM, in accordance with the events schedule

    ? Engage with clients, guests, and vendors to ensure all Museum policies and guidelines are adhered to; understand and explain complex rental policies to clients

    ? Troubleshoot any issues that arise during events, and supervise student Events staff for the run of show

    ? Manage and oversee AV/technology needs for events

    ? Open and close the building on occasion, and serve as go-to operations staff during off-hours, as needed

    Assist with training, supervision, and scheduling of student event staff - (20%)

    ? Review and update training manuals, as needed.

    ? Coordinate schedule and communicate with students to wrangle the staffing calendar

    Prepare paperwork generated by internal and external events and help maintain events calendar - (10%)

    ? Confirm and distribute weekly schedule of events

    ? Assist with billing systems and contracts

    ? Submit monthly door schedule to Operations

    ? Arrange catering for Internal WAM Events

    Coordinate and maintain rental equipment (10%)

    ? Maintenance and upkeep of rental equipment

    ? Keep inventory current and order supplies as needed

    ? Maintain AV equipment and orderly storage of event AV equipment and supplies

    Other assorted tasks as needed (10%)

    REQUIRED QUALIFICATIONS:

    ? High School Diploma or GED and two years of office experience and/or managing public events. Training or formal education may be substituted for some of the years of experience.

    ? One year of supervisory experience, including experience scheduling employees/volunteers.

    ? Previous experience in hospitality, event production, or public engagement.

    ? Must be available to work weekends and evenings, with a varying schedule.

    ? Able to lift up to 50 pounds.

    PREFERRED QUALIFICATIONS:

    ? Previous experience in an art museum or cultural organization/venue

    ? Experience with database systems

    ? Thoughtful problem-solving experience in a variety of situations, particularly those related to building operations and security

    ? Demonstrated excellent customer service skills

    ? AV/Tech experience (sound/lighting/visuals)

    ? Proven dependability and attention to detail

    ? Demonstrated ability to work collaboratively, pivot with change, and troubleshoot on the fly

    STARTING PAY RANGE:$46,000-$49,000

    WORK HOURS: 40 hours/week.

    WORK DAYS: Arranged depending on the events schedule.
