InterGlobal Exhibits (IGE) is a 30-year-old company specializing in the design and build of custom exhibits worldwide.
The company currently employs approximately 40 team members and continues to grow across both the United States and international operations.
To support this growth, IGE is seeking an HR & Recruiter Lead to manage all Human Resources and recruiting functions.
The HR & Recruiter Lead is responsible for the full execution of recruiting and Human Resources administration at IGE.This role oversees the complete talent lifecycle, including sourcing, hiring, onboarding, and workforce planning, while managing day-to-day HR operations such as payroll coordination, employee records, compliance, HR systems, and workforce documentation.
The position supports full-time employees, temporary labor, onsite supervisors, and international staff, ensuring that all hiring, and HR processes are executed consistently, professionally, and in alignment with IGE's operational needs, compliance requirements, and company standards across both U.S.
and overseas teams.I. Recruiting
The Recruiting function is responsible for full-cycle talent acquisition at IGE, managing the entire recruiting lifecycle from job posting through offer issuance.
The role ensures timely, organized, and high-quality hiring aligned with IGE standards and operational needs.Core Responsibilities
- Recruiting & Talent Sourcing
Post, manage, and optimize job advertisements on Indeed, LinkedIn, and other approved platforms.
Proactively source candidates via LinkedIn and additional sourcing channels.
Screen resumes and directly engage qualified candidates.
Maintain an accurate, organized, and up-to-date candidate pipeline.
- Interviewing & Candidate Evaluation
Evaluate candidates against job requirements and IGE standards.
Coordinate interviews with leadership and hiring managers.
Collect feedback and support final hiring decisions.
- Offers & Hiring Coordination
Communicate offer details, start dates, and employment expectations to candidates.
Ensure a smooth handoff from recruiting to onboarding.
- Onboarding Support
Coordinate onboarding timelines with HR administration.
Ensure all pre-employment documentation is completed accurately and on time.
Ensure new employees are fully equipped and operational on day one, including coordinating workstations, office seating (if in office), computers, monitors, keyboards, mice, required software installations, system access, company email, Slack accounts, and all necessary tools and equipment.
- Recruiting Budget Management
Allocate spend across job boards and recruiting platforms.
Monitor costs to ensure efficient and effective sourcing.
Report recruiting spend and results to leadership.
- Reporting & Process Discipline
Maintain accurate records within Pinpoint.
Ensure recruiting processes are consistent, timely, and professional.
- Recruiting and Staffing Responsibility Statement
The HR & Recruiter Lead is responsible for hiring the right people with the right skills and within approved budgets.
This includes recruiting and staffing full-time, hourly, part-time, remote, and temporary employees to support IGE's operations across all functions, including shipping, warehouse, design, production, and onsite supervision.
The role ensures staffing decisions align with operational needs, performance expectations, timelines, and cost constraints.II. HR Administration
The HR Administration function is responsible for the full administrative execution of Human Resources at IGE, including employee records, payroll coordination, onboarding and offboarding, compliance documentation, HR systems, and workforce documentation.
This role works closely with Paychex, internal managers, and IGE staff to ensure accurate, compliant, and well-documented HR operations.Core Responsibilities
- HR Administration & Payroll Coordination
Coordinate payroll-related HR data to ensure accuracy of employment status, pay rates, classifications, benefits, and deductions.
Manage labor and unemployment portals.
Process employee unemployment claims.
Support annual benefits open enrollment and re-enrollment.
Conduct annual Workers' Compensation classification audits.
- Onboarding & Offboarding
Prepare and manage offer letters and employee acknowledgements.
Maintain Corporate Property and Corporate Credit Card Acknowledgement documentation.
Manage resignations and terminations, including Paychex forms, termination checklists, system access removal, and equipment recovery.
- HR Systems & Platform Management
Maintain employee records, workflows, PTO tracking, and document storage.
Ensure alignment between HR systems, Paychex, and VOZ ERP.
- Job Descriptions & Workforce Documentation
Partner with leadership and department managers to draft new or revised job descriptions.
Ensure job descriptions remain accurate, current, and aligned with compensation and responsibilities.
Store and manage job descriptions within HR platforms.
- Recruiting Coordination
Support the transition from recruiting to onboarding.
Maintain alignment between recruiting systems, HR platforms, and payroll.
- Employee Records, Policies & Compliance
Maintain and update the Employee Handbook.
Prepare and distribute the annual holiday schedule.
Ensure HR processes remain audit-ready.
- PTO & Internal Coordination
Coordinate HR matters with managers and employees.
Serve as the primary administrative HR point of contact.
Training:
Train new staff members on IGE's organization, culture, processes, and operational workflows, ensuring a clear understanding of company expectations, internal systems, and how each role fits within the overall organization.
Coordinate and support training for new hires and ongoing training for existing staff, including onboarding, role transitions, process improvements, new software rollouts, and VOZ ERP implementations, working closely with leadership and department managers to ensure effective adoption and performance.
- Employee Engagement & Ongoing Check-Ins
The HR & Recruiter Lead is responsible for maintaining regular, direct contact with all IGE team members, conducting at least monthly one-on-one check-ins with each employee.
These check-ins are intended to confirm that employees have the tools, resources, and support needed to perform their roles effectively; address questions or concerns; identify potential conflicts or challenges involving management or coworkers; and proactively surface issues related to performance, workload, communication, or engagement.
The role serves as a consistent HR point of contact to help ensure a productive, aligned, and well-supported workforce across both U.S.
and international teams.- HR & Recruiting Planning, Oversight & Control
The HR & Recruiter Lead is responsible for planning, organizing, directing, and controlling the overall HR and recruiting function at IGE.
This includes developing and managing job postings and recruiting advertisements, creating, and maintaining final operational job descriptions for every employee, tracking performance and role alignment, resolving staffing and organizational issues, and maintaining an accurate, up-to-date organizational chart.
The role is also responsible for workforce planning and budgeting, including forecasting new hires and managing monthly salary and compensation budgets using Excel, ensuring staffing decisions align with operational needs, headcount plans, and approved financial targets.
Required Skills & Experience3+ years of experience in HR administration and recruiting.
Experience with Paychex preferred.
Experience with Indeed, LinkedIn, and other recruiting platforms.
Knowledge of U.S. labor laws and HR compliance.
Strong organizational, communication, and documentation skills.
