    As a Medical Secretary, you will provide essential administrative support to ensure the smooth operation of our medical facility. You will be responsible for managing clerical tasks, scheduling appointments, and maintaining member records with accuracy and efficiency.

    KEY RESPONSIBILITIES:
    • Coordinate member appointments by scheduling and confirming appointments via phone, email, or in-person. Maintain the appointment calendar, ensuring optimal scheduling to accommodate member and provider needs.
    • Greet members and visitors in a courteous and professional manner. Register new members, collect demographic and insurance information, and verify member eligibility and coverage.
    • Maintain electronic and paper-based medical records in compliance with HIPAA regulations. Ensure accuracy, confidentiality, and completeness of member information. Retrieve and file medical records as needed.
    • Assist with billing and insurance-related tasks, including verifying insurance coverage, processing insurance claims, and facilitating member payments.
    • Address member inquiries regarding billing statements and insurance coverage.
    • Serve as a liaison between members, healthcare providers, and other clinic staff. Relay messages, inquiries, and requests to the appropriate individuals in a timely manner.
    • Communicate effectively with members regarding appointment reminders, follow-up instructions, and other pertinent information.
    • Perform various clerical tasks such as photocopying, faxing, scanning documents, and organizing files. Assist with administrative duties as assigned, including maintaining office supplies, coordinating meetings, and handling incoming correspondence.
    • Other duties may be assigned.

    EXPECTATIONS:
    • Prior experience in a medical office setting or healthcare environment.
    • Proficiency in basic computer skills, including Microsoft Office applications (Word, Excel, Outlook).
    • Excellent organizational skills with the ability to multitask and prioritize workload effectively.
    • Strong interpersonal and communication skills, both verbal and written.
    • Attention to detail and accuracy in data entry and record-keeping.
    • Knowledge of medical terminology, billing processes, and insurance procedures is advantageous.
    • Knowledge of electronic health records (EHR) systems
    • Successful completion of background check and drug screen.
    • Maintain compliance with all Gloria Gates CARE standards, including Conduct, Compliance, and all other policies and procedures.

    EDUCATION AND EXPERIENCE:
    • High school diploma or equivalent required; additional education or certification in medical office administration preferred.
    • At least 1 year of experience in a medical office setting or healthcare environment.
