    Description

    Role Description.

    You will maintain the internal administrative matters and perform bookkeeping functions for this boutique membership organization. Responsible for ongoing, long-term day-to-day oversight of the organization's virtual office. You will work with the executive director and a small team of supporting contractors for organizational operations and back-of-house support.

    You will thrive using your skills, experience, and brilliance while enjoying the responsibilities which come with running a small non-profit business and impressing its leadership and membership with your contributions.

    This is a full-time remote role and the ideal candidate will enjoy working both autonomously and with all stakeholders. The role is primarily traditional office hours during a Monday through Friday schedule, with some exceptions. Must be based in the Central Arizona/Phoenix area.

    Responsibilities will include, but not limited to:

    Bookkeeping Responsibilities.
    · Managing financial operations, financial statements, nonprofit 990 tax returns, budget development and processing.
    · Posting to ledgers and registers, through journal entries and other QBO transactions, i.e. cash control, merchant services, invoicing, receivables, payables, and bank reconciliations.
    · Creating, maintaining, and presenting cash & accrual financial statements as well as member tracking reports to the staff, board, and membership as needed.
    · Keeping operational, legal, and support system accounts up-to-date.

    Membership and Office Responsibilities.
    · Maturing the confidential integrity of the membership database/association management system including regular reports, membership metrics, and member records.
    · Handling new and renewal member applications, registrations, subscriptions and/or membership orders.
    · Providing secretarial and administrative support supporting organizational and member programming and service projects. Responsible for survey instruments, manages data and basic statistical analyses for board, staff, and member use.
    · Typical clerical duties may include word, spreadsheets, and support software processing, preparing correspondence, maintaining all records within cloud and local systems, answering main phone line and email correspondence, and collecting and processing mail for the organization.
    · Oversees recommending/developing streamlined processes, SOPs, and roadmaps for member and organizational operations, programs, services, and events.

    Proficient in QuickBooks Online (QBO), bookkeeping, and budget principles required

    • Excellent organizational skills and attention to detail

    • Strong communication and interpersonal skills (including writing, spelling, and proofreading)

    • Ability to maintain confidentiality and exercise discretion when working with sensitive information

    • Proficiency in Microsoft Office suite, especially Excel formulas/security/worksheet management

    • Experience with Dropbox, Zoom, Google, MailChimp, SurveyMonkey preferred

    • Degree or qualified experience in Accounting, Finance or related field is a plus

    • Ability to furnish your own remote professional office, within the Phoenix/Scottsdale Arizona market. Includes the necessary office equipment, security, and private space to operate efficiently and reliably, including conducting virtual stakeholder communications
