    Description

    This position is accountable to provide a full range of administrative and logistical support for the day-to-day operation of the Physician Assistant (PA) Program.


    The PA Program is supported by two full-time Program Coordinators reporting directly to the Program Director.

    Each of the Program Coordinators are responsible to provide general administrative and logistical program support as well as support in one or more specialized functions.

    The incumbents will be provided appropriate training to ensure ability to provide assistance as required in all specialized functions as assigned by the Program Director.

    The Program Coordinators play an integral role in support of the PA Faculty Team and the Program.

    This is a full-time, 35-hour per week staff position with excellent benefits.

    Principal Accountabilities The principal accountabilities for the Program Coordinator include, but are not limited to the following:

    General Duties (shared responsibilities):


    • Interacts with students and maintains student records in Blackboard and Banner.
    • Handles incoming phone and e-mail correspondence for the program, forwarding as necessary.
    • Drafts routine correspondence.
    • Maintains office files.
    • Manages the schedule for the PA program conference room, classrooms and simulation center debrief room.
    • Performs related duties as assigned.



    Specialized Functions:


    Program Support


    • Manages operational schedules of the Program Director and Clinical Coordinator.
    • Prepares agendas, distribution of materials and takes minutes for meetings for the PA department.
    Accreditation


    • Provide administrative support for all aspects of the ARC-PA process
    • Assist in the preparation of reports and other documents
    Admission/Events


    • Participates in and supports Physician Assistant Studies Admissions in coordination with the Director of Physician Assistant Admission and Student Success.
    • Prepares and manages student correspondence including admissions notifications.
    • Coordinates meetings, admissions sessions, and clinical call back days.
    • Provide logistical support for major program events including, but not limited to, Open House, White Coat Ceremony, and Commencement activities.
    Budget


    • Review check requests, travel reimbursements, and procurement card transactions for accuracy and compliance.
    • Track status of invoices, check requests, travel reimbursements, purchase requisitions and purchase orders, and follow up and expedite as needed.
    • Prepare budget change orders, reclassify journal entries, print monthly G/L detail budget reports and research activity code variances.
    • Assist with preparing various financial analyses on a monthly basis, including but not limited to revenue and expenditure trends for budget modeling and projections.
    • Work in collaboration with PA Program staff to monitor inventory and place orders for appropriate goods and supplies.

    • Excellent administrative and office management skills.
    • Proficiency with university-specific data entry systems.
    • Minimum of 3-5 years of administrative support experience required; budget coordination experience a plus.
    • Demonstrated organizational, communication, and interpersonal skills are essential, as is the ability to gather, interpret, analyze and report data.
    • Requires in depth knowledge of Microsoft Office Suite.
    • Attentiveness to detail, and the ability to prioritize and follow through, schedule and complete multiple projects with varied schedules required.
