The Opportunity
We are seeking a Client Experience and Clinic Coordinator for our Oakland location to support daily clinic operations while working in close partnership with the Clinic Coordinator/Front Desk Lead at our Albany clinic. This role plays a key part in maintaining consistency, flow, and excellence across locations.
The Clinic Coordinator serves as a central point of connection between clients, practitioners, and leadership. This is a hands-on, client-facing role with leadership responsibility—ideal for someone who enjoys systems, communication, and contributing to the growth of a purpose-driven healthcare practice.
This role is a coordination and leadership position within clinic operations and client experience.
What You'll Be Doing
- Acting as the primary point of contact for clients and prospective clients (in person, phone, and email)
- Managing scheduling, rebooking, billing support, and ongoing client communication
- Supporting smooth daily clinic operations to ensure a calm, organized, and welcoming environment
- Educating clients about services and helping guide them through their care journey
- Leading warm, intentional outreach to inactive clients to support reactivation and continuity of care
- Tracking and supporting front-desk-related metrics such as call conversions, rebooking rates, and calendar optimization
- Following established systems and processes while contributing to their refinement and consistency
- Collaborating closely with the Clinic Director and the coordinating team member at the other location
- Representing Nourish at occasional community events, workshops, or outreach opportunities
- Identifying local partnerships and community engagement opportunities
- Supporting marketing efforts through light content capture and promotion assistance
What We're Looking For
- Experience in an administrative, front desk, or client services role (healthcare or wellness strongly preferred)
- A confident, efficient learner who enjoys systems and organization
- Tech-comfortable and open to learning practice management software
- Warm, professional communication skills with clients and team members
- Ability to stay grounded and clear in a dynamic clinic environment
- Availability: Mondays, Wednesdays, and Thursdays; 7-hour shifts between 9:00am–6:00pm (exact hours may vary)
