    This position is eligible for a hybrid Flexible Work Arrangement (FWA) (on-campus and remote work). FWA arrangements are subject to manager approval and may shift due to changes in business needs.

    Purpose

    To provide support in the areas of procurement, accounts payable and customer service for the College of Fine Arts Dean's Office (COFA) Business Affairs team.

    Responsibilities

    • Procurement - Prepares purchase orders, contracts, associated procurement documents (change orders, amendments, exclusive acquisition justifications), and UT Market carts as assigned. Provides customer support for Amazon Business, Procurement Card, and UT Market. Responsible for tracking, organizing, and updating associated records.
    • Accounts Payable - Processes vendor payments, travel and entertainment reimbursements, and all associated tasks to successfully create payments in a timely manner. Responsible for vendor account setup and updates to vendor profiles as needed. Works with customers and vendors directly to facilitate successful completion of payee information, payment vouchers, and direct deposit forms. Provides Accounting Office team support in the day-to-day processing and tracking of Accounting Office records (invoices, payments, contracts, purchase orders, etc.)
    • Stakeholder Communication: Provides accurate, timely, and reliable communication to staff, faculty and vendors via email or other methods regarding business-related questions. This includes directing customers to UT and COFA policies on topics such as entertainment, procurement, travel, and associated payments. Communicates effectively with team members. Engages in team meetings. Reports relevant updates and concerns.
    • Department Point of Contact Intake: Serves as point of contact for all department intake forms: Payee Information Forms, Guest Artist Forms, and procurement requests. Assists manager with inventory (tagging, certification, and records management), general workflow processes and improving office procedures to increase efficiency.
    • Team Back Up: Provides backup for other sections of the accounting team including investigating transactions, processing corrections, and other duties as assigned.

    Required Qualifications

    • Bachelor's degree and a minimum of three years of relevant administrative experience.
      • Four additional years of administrative experience in a related field may substitute for bachelor's degree.

    Salary Range

    $55,000 + depending on qualifications
