    Summary/Objective


    The Executive Coordinator to the Executive Vice President & Chief Business Officer (EVP & CBO) provides support in a one-on-one working relationship.

    The Executive Coordinator to the EVP & CBO serves as the primary point of contact for internal and external constituents on all matters pertaining to the EVP & CBO.

    Essential Functions


    • Assist the EVP & CBO on any and all associations or task forces the EVP & CPO is engaged with
    • Coordinate the administrative and executive activities for the EVP & CBO
    • Provide support to Vice Presidents as directed by EVP & CBO
    • Coordinate meetings and travel arrangements for EVP & CBO
    • Coordinate logistics, reports, support materials and agendas for Board committee meetings specifically Advancement and Advocacy
    • Compose, edit, and proof professional and executive-level correspondence, announcements, and documents including templating CEO report
    • Prepare electronic documents for approval and signature by EVP & CBO
    • Manage multiple calendars and email accounts
    • Communicate verbally and in writing with peers, stakeholders and advocacy entities
    • Process, review and approve invoices and credit card expenditures for the EVP & CBO
    • Collect, verify, and maintain accreditation materials for Executive Leadership
    • Provide oversight of CPARS and CARF communications for accreditation
    • Assist the Foundation Executive Director with agendas, logistics, and administrative work pertaining to the VOA Foundation

    Supervisory Responsibility


    This position has no direct supervisory responsibilities but may serve as a coach and mentor for other positions in the organization.

    Work Environment

    This job operates in a professional office environment. This role routinely uses standard office equipment such as laptop computers, photocopiers, and smartphones.

    While performing the duties of this job, the employee is regularly required to talk or hear. Specific vision abilities required by this job include close vision and the ability to adjust focus.

    This would require the ability to lift files, open filing cabinets and bend or stand on a stool as necessary.

    Position Type/Expected Hours of Work

    This is a full-time position. Days and hours of work are generally Monday through Friday, 8:00 a.m. to 5:00 p.m. Occasional evening and weekend work may be required as job duties demand.

    Travel

    Some travel is required for this position.

    Travel will be based on the EVP-CBO schedule and may be with little or limited notice during legislative sessions or upon the demands of the business development schedule.

    Required Education, Experience, or Eligibility Qualifications


    • Associate degree and a minimum of two years experience in an advanced administrative role
    Or


    • High school or equivalent and a minimum of four years experience in an advanced administrative role
    • Highly proficient with Microsoft Office suite products including Word, Excel, PowerPoint, and Adobe Acrobat.
    • Highly skilled with video conferencing, zoom, and app-based scheduling.
    • Working knowledge of SharePoint.
    • Strong written and verbal communication.
    • Demonstrated understanding of executive communication.
    Preferred Education and Experience


    • Bachelor's degree in a related field
    • Minimum of three years experience in an advanced administrative role
    • Advanced experience with SharePoint, Office 365 applications, and website interface.
