    Company Overview:

    Stellar Transport of North Florida is a leading provider of non-emergency medical transportation services, dedicated to ensuring safe and reliable transportation for our clients. We are committed to delivering exceptional care and assistance to individuals requiring medical transportation, and we are currently seeking an experienced Office Manager to join our team.

    Position Overview:

    The Office Manager will play a crucial role in the efficient operation of our administrative office. The ideal candidate will have a strong background in office management, with expertise in payroll, billing, and scheduling. Attention to detail, data entry proficiency, and multitasking abilities are essential for success in this role. Previous experience in a medical practice setting is highly desirable.

    Responsibilities:

    Payroll Management:
    • Process employee payroll accurately and in a timely manner.
    • Maintain payroll records and ensure compliance with all relevant regulations.
    • Address payroll-related inquiries from employees and management.
    Billing and Accounts Receivable:
    • Oversee billing operations, including invoicing clients and processing payments.
    • Monitor accounts receivable and follow up on outstanding balances.
    • Coordinate with insurance providers to verify coverage and resolve billing issues.
    Scheduling Coordination:
    • Manage scheduling of transportation services for clients.
    • Coordinate with drivers to ensure efficient routing and timely arrivals.
    • Address scheduling conflicts and adjust as necessary to meet client needs.
    Data Entry and Record Keeping:
    • Maintain accurate and up-to-date records in the company database.
    • Enter client information, trip details, and billing data with precision.
    • Generate reports as needed to support decision-making and business operations.
    Office Administration:
    • Oversee general office operations, including supplies inventory and equipment maintenance.
    • Provide administrative support to management and staff as needed.
    • Assist in recruiting, hiring, and training administrative personnel.

    Qualifications:
    • Minimum of 3 years of experience in office management, preferably in a medical practice or healthcare setting.
    • Proficiency in payroll processing software and accounting systems.
    • Strong attention to detail and accuracy in data entry and record-keeping.
    • Excellent organizational and multitasking abilities to thrive in a fast-paced environment.
    • Effective communication skills, both verbal and written.
    • Knowledge of medical billing procedures and insurance protocols is a plus.
    • Proficiency in Microsoft Office Suite (Word, Excel, Outlook).
    • Ability to maintain confidentiality and handle sensitive information with discretion.
