- Accurately enter patient referrals within established timeframes while meeting productivity and quality standards.
- Communicate with referral sources, physicians, and their staff to ensure timely completion and routing of required documentation.
- Collaborate with leadership to select and confirm appropriate inventory and services for each patient.
- Discuss financial responsibilities with patients, collect payments, and document appropriately in the patient record.
- Review medical records for non–sales-assisted referrals to ensure all compliance requirements are met prior to service.
- Ensure proper shipping methods are used according to company procedures.
- Answer incoming phone calls promptly and provide helpful assistance to callers.
- Demonstrate expert understanding of payer guidelines and evaluate clinical documentation to determine qualification and compliance for equipment and services.
- Work closely with community referral sources, sales teams, and insurance verification teams to obtain all required documentation and ensure seamless processing of referrals.
- Notify patients when documentation does not meet payer requirements, providing updates and alternative options when appropriate.
- Navigate multiple online EMR systems to obtain necessary clinical information.
- Participate in on-call rotation during non-business hours in accordance with company policy.

Position SummaryThe Intake Specialist plays a key role in supporting patients, referral sources, and internal teams by ensuring accurate data entry, compliant documentation, and smooth coordination of services.
