    Reports to Chairman, Department of Surgery and the Program Director with primary responsibility for the day-to-day functioning and management of the General Surgery Residency Training Program.

    Provides direction to and oversees workflow of the OMFS Residency Program Coordinator and the Assistant Program Coordinator with program responsibilities.

    Additional responsibilities include coordination of program compliance under guidelines of the Residency Review Committee for Surgery set forth by the Accreditation Council for Graduate Medical Education (ACGME), and the American Board of Surgery; management of activities related to online recruitment of new residents utilizing the Electronic Residency Application Service (ERAS) and the National Resident Matching Program (NRMP); coordination of Yale School of Medicine student elective rotations in surgery; participation in the Association of Residency Coordinators of Surgery and certification Training Administrator for Graduate Medical Education.

    Other areas of expertise include managing the residents' profiles, evaluations, credentialing procedures, and duty hours online utilizing the E*Value Program, navigating through and completing essential accreditation components in the Accreditation Data System (ADS) and the Program Information Forms (PIF) of the Accreditation Council for Graduate Medical Education for program accreditation.

    Responsibilities


    • 1. Manages and administers the Podiatric Medicine and Surgery Residency Program
    1 .1 Manages and administers Residency Training program in podiatric medicine and surgery.

    1 .2 Keeps records for all podiatric residents files on research and publication.

    1 .3 Manages schedule, vacation, conference, and sick time for each resident in Med Hub.

    1 .4 Manages and tracks resident evaluations in Med Hub and assures regular feedback of residents and

    attendings, by developing and maintaining evaluation files for all aspects of the training program.

    Reviews files to ensure resident is meeting requirements for promotion (i.e. research progress,

    in-training examination scores, evaluations, credentialing procedures, progress reports, and

    conferences, etc.). Informs program director of findings prior to meetings with residents.

    1 .5 Enters and maintains appropriate information into Med Hub program regarding resident rotations (YNHH,

    SRC, VACT, THOCC) for Medicare reimbursement.

    1 .6 Manages residents' profiles with credentialing procedures, evaluations, duty hours, and quarterly reports

    for reviews

    1 .7 Arranges bi-annual evaluation of all residents.

    1 .8 Prepares contracts for all incoming residents.

    1.9 Prepares surveys, and updates data pertaining to residents and residency program for Podiatry resident

    verifications.

    1 .10 Manages resident expenses for resident academic conferences and submits invoices via INFOR

    hospital system.

    1 .11 Responds to all inquiries for verification of training of all prior graduates of residency program.

    1. 12 Acts as liaison between residents and attendings; provides continuity of service to chairman, residents

    and attendings; is available to residents/students for personal and professional counseling; maintains

    appropriate confidentiality in all such matters.


    • Manages and administers all Schedules/Academic Materials for the Podiatric Medicine and Surgery Residency Program.
    2.1 Manages and assumes total responsibility for the development, production and distribution of the

    monthly rotation schedule for all residents to ensure proper coverage/exposure on all services.

    2 .2 Prepares and distributes yearly service and attending coverage schedules for the Podiatry Department

    and Podiatry Clinic.

    2 .3 Prepares documents for all meetings relative to the Podiatric Medicine and Surgery Program, Residency

    Review Committee, Clinical Competency Committee, Department of Podiatry Faculty Meeting, and PD

    meeting. Responsible for preparation of agendas and meeting minutes.

    2 .4 Accesses and monitors residents on-call schedules in the Qgenda website.

    2 .5 Manages the academic conferences of the podiatric residency program using Med Hub program.


    2 .6 Serves as liaison for the Department of Podiatry with Graduate Medical Education regarding Podiatric Medicine and Surgery Postgraduate trainees.


    • Manages and coordinates the Resident Recruitment Process.
    3 .1 Utilizes the Centralized Application Service for Podiatric Residencies and National Matching Service or

    its successor program. Screens and manages all applications for residency program, ensures their

    completeness prior to interviews and schedules/arranges interviews with selected applicants, faculty,

    and program director.

    3 .2 Assists program director with the selection process for submission to the Centralized Application

    Service for Podiatric Residencies and National Matching Service or its successor program. Submits all

    program documentation and match rank list as required for participation in CASPR/NMS.

    3 .3 Prepares the slide presentation of the medical student applicants scheduled for the recruitment/interview

    process of the Podiatric Medicine and Surgery Residency Program.

    3 .4 Collaborates with Program Director in development of Policy and Procedures.

    3 .5 Prepares house staff orientation program schedules for the incoming interns and provides electronic

    information for orientation and online training to the new house staff in the Podiatric medicine and

    surgery program.

    4 Manages and maintains compliance for the podiatric residency program in accordance with the guidelines

    established by the CPME Residency Review Committee (RRC) for the Podiatric Medicine and Surgery

    Residency Program.

    4 .1 Generates all inter-institutional agreements as per CPME guidelines and assures they are current.

    4 .2 Prepares materials necessary for accreditation site visits.

    4 .3 Participates with Program Director in the accreditation review.

    4 .4 Documents all podiatric education activities in order to meet program requirements.

    4 .5 Prints reports of the Podiatry Residency Resource procures of graduating residents for review/approval

    by the program director.

    4 .6 Ensures that PGY 3 residents documentation of operative experience is in compliance with the

    CPME/RRC requirements, oversees process during the course of the academic year.

    4 .7 Manages, monitors, and provides a monthly report of Duty Hours and Violations Report for residency

    program meeting.

    4 .8 Initiates development/implementation of documentation systems for accreditation standards and

    continued accreditation.


    • Manages and coordinates program activities mandated by the American Board of Podiatric Medicine (ABPM)
    and the American Board of Foot & Ankle Surgery (ABFAS).

    5 .1 Coordinates yearly the American Board of Foot & Ankle Surgery in-training online examination

    administered by the ABFAS and as directed by PD for the in-training online examination administered

    by the ABPM.

    5. 2Collaborates with the PGY 3 graduating residents' to complete application to the American Board of

    Foot & Ankle Surgery.

    5.3 Notarizes complete ABFAS application of the PGY3 residents to participate in the examination for

    certification.

    6 Provides direction and collaboration with the VACT Administrative Coordinator for Podiatric residents and

    students

    6.1 Manages the approval of the medical students scheduled for externship in the Podiatric Medicine and

    Surgery Program.

    6 .2 Manages and prepares the monthly survey of the medical student evaluations using survey monkey,

    med hub, or other survey software.

    6 .3 Serves as the liaison for the medical students during externship rotation at the YNHH SRC campus.


    • Special Projects/Other Duties
    7.1 Serves as liaison for Department of Podiatric medicine and surgery with Yale University School of

    Medicine and other colleges/universities in the US. Coordinates NET ID's with YSM.

    7 .2 Assists with the yearly department of podiatry graduation dinner at the graduating residents with the

    club facility, invitations, awards, gifts, plaques, dinner choices, flowers, and evening program.

    7 .3Participates as a member of the training administrators for graduate medical education to maintain

    certification.

    7 .4Participates as a member of the Connecticut Medical Education Coordinators (ACMEC).

    7 .5 Is Notary Public for Department of Podiatry, house staff, and attending physicians,

    7 .6 Independently carries out requested tasks in a responsive manner by organizing activities to ensure

    efficient, cost-effective completion within expected time frame.

    7 .7 Manages and orders supplies from WB mason for the department of podiatry.

    7 .8 Manages and submits invoices for the department of podiatry and residency program for reimbursement.

    7.9 Manages the podiatric residency resource website of the podiatric medicine and surgery residency.

    7.10 Manages reports of the podiatric residency resources website for the midyear and end of year evaluation.

    7 .11 Manages and initiates letters of recommendation at the request of residents for program director to sign.

    7.12 Manages the podiatry foot and ankle surgery on-call schedule in Qgenda for the department of podiatry

    and residency program.

    7 .13 Manages the grand rounds of the department of podiatry confirming guest speaker and preparing CME

    poster, assisting speaker to complete necessary paperwork and disclosures.

    7 .14 Manages the Yale CME program for continuing education credits of the attending physicians in the

    department of podiatry.

    7 .15 Prepares the annual Yale CME application for grand rounds and for other scientific conferences ,

    prepares CME annual report and submits documentation to the Yale CME program.

    7 .16 Manages the podiatry med hub program for the residency program.

    7 .17 Manages and requests the advice of insurance certificate (AIO) from the legal office for the residents in

    the podiatric medicine and surgery residency program.


    • Manages Podiatric External Rotations
    8 .1 Generates the Yale Podiatry residents' credentials verification for affiliate hospitals and facilities annual

    agreement.

    8 .2 Manages the Yale Podiatric medicine and surgery residency program site director agreements.

    8 .3 Manages the Yale Podiatric medicine and surgery residency site coordinator agreement.


    • Meetings
    9 .1 Department of Podiatry Annual meeting prepares agenda, meeting minutes, reports, and maintains file.

    9 .2 Residency Review Committee prepares agenda, meeting minutes, and generates evaluation reports,

    data Excel spreadsheet and maintains file.

    9 .3 Clinical Competency Committee prepares agenda, minutes, resident reports, and maintains file

    Qualifications


    EDUCATION
    Associates Degree with 3 plus years of administrative healthcare experience or Bachelors Degree with 2 plus years

    administrative healthcare experience required


    EXPERIENCE
    Two to three years of administrative healthcare experience required. Experience working with residents and

    attendings in a healthcare setting preferred.


    SPECIAL SKILLS
    Excellent communication and time management skills; good organizational skills and managerial ability required. Demonstrates problem-solving, decision-making abilities, organizational, and professional behavior with a variety of individuals and personalities. Working knowledge of the Microsoft Office Package including Word, Excel and Access, Power Point and Microsoft Publisher. Ability to handle multiple priorities and meet specified deadlines.
