Job summary
We are a growing moving company based in Northern VA and operate in DC and Maryland seeking a highly organized Office Operations & Compliance Coordinator to take full ownership of our administrative systems, compliance tracking, documentation, and internal follow-ups.This role exists because documentation, compliance, and coordination are critical — but time-consuming — and ownership needs a dedicated person to ensure everything is always updated, organized, and audit-ready.
Responsibilities
- Maintain individual files for: Drivers Movers Office staff Management Ensure contracts agreements required documentation are complete up to date Coordinate background checks where required Ensure documentation is always audit-ready 3 DOT / FMCSA Compliance Track DOT FMCSA requirements Monitor license compliance expiration dates Maintain driver compliance files Prepare documentation inspections audits Ensure compliance records accurate current 4 Insurance Coordination Act central administrative point contact with insurance agencies Coordinate Auto liability General liability umbrella Workers compensation Assist Annual workers comp audits Policy renewals Adding removing vehicles Adding removing drivers 4 SOPs Internal Systems Collect existing SOPs locations Organize standardize SOPs central system Help recreate clean unclear procedures Ensure SOPs usable accessible Support onboarding ensuring new roles follow SOPs 5 Internal Coordination Follow-Ups Coordinate administrative communication between Sales Operations Marketing Management Track tasks deadlines responsibilities Follow up ensure deadlines met Maintain to-do lists recurring task trackers Provide clear weekly status updates ownership 6 General Administrative Oversight Ensure all company documents current times Maintain clean organized digital filing systems Track property taxes vehicle admin items Assist meeting scheduling internal calendars
