    Description
    SUMMARY:

    Provides the necessary medical and clerical office support to the physician in the examination and treatment of patients in an outpatient office setting. In support of the university's and departments mission and in accordance with all applicable policies and procedures, performs the following:

    ESSENTIAL DUTIES AND RESPONSIBILITIES:

    Performs direct patient care as directed by physician and within the scope of nursing practice and within accepted nursing standards.

  • Dispenses medications, as ordered by physician.
    * Performs medical procedures, e.g., PFTs, ultrasound, allergy testing, eudiometry, etc.
    * Maintains, mixes, and prepares allergen vaccines.
    * Places patients in exam rooms and takes initial vital signs, weight, chief complaint, and brief medical/surgical history.
    * As appropriate, take the patient's height and/or perform screening tests as directed, such as but not limited to vision screening, audiograms, allergy screening, etc.
    * Prepares patients for procedures. Prepares treatment or exam room with necessary supplies and equipment for the procedure.
    * Performs venipuncture and processes blood and other specimens as needed by each laboratory.
    * Performs ECGs.
    * Stocks room with supplies each shift.
    * Cleans room after each patient and prepares room for next patient.
    * Cleans patient care equipment after each use and weekly.
    * Sterilizes instruments after use.
    * Reports any needed supplies to appropriate person.
    * Performs an inventory on all medications for expiration date. Disposes expired medications as appropriate and notifies assigned person to reorder replacement medications.

    Provides clerical services to the physician and patient in support of patient care.

  • Completes all paperwork necessary to effectively bill and collect for patient services.
    * Knows the insurance companies' requirements for the handling of claims for their patients.
    * Reviews the list of capitated patients and updates patients' files as needed on a monthly basis.
    * Prepares patient charts for new patients each shift for the next shift.
    * Pulls charts for the next shift each day.
    * Maintains patient charts each shift so that the charts are current, accurate, and in good condition. This includes, but is not limited to: Repairs, damaged charts, keeps annual marker current, patient's name is accurate, patient's insurance is accurate, allergies are noted, etc.
    * Files patient's charts, materials to be placed in patients' charts, and other office documentation each shift.
    * Prepares reports and copies charts for outside agencies as directed by supervisor.
    * Receives and processes incoming and outgoing mail by directing correspondence to the appropriate persons.

    Performs duties as a receptionist, as directed by supervisor or designee.

  • Opens the office before the beginning of office hours to assure that patients are greeted by a pleasant, clean, efficient office. Turns off the security system.
    * Signs patients in and out of the office.
    * Schedules patients for appointments.
    * Schedules requests for appointments with physicians by outside agencies, other physicians, etc.
    * Arranges for patient care services at other facilities, e.g., x-ray, laboratory, etc.
    * Coordinates requests for medications from patients and pharmacies by providing charts to the physician and telephoning the pharmacy at the direction of the physician.
    * Closes the office so that the office is ready for patients the next operating day.
    * Operates the security system so that the office is secure.
    * Keeps the front desk, chart areas, and waiting rooms neat and organized.

    Receives and screens telephone calls and communicates with internal and external offices as needed.

  • Determines the relative importance of the subject matter from the physician's viewpoint, diverting or personally handling those which do not require the physician's personal or immediate attention.
    * Directs those calls that require the physician's personal or immediate attention to the appropriate physician with all necessary documentation for his/her handling of the call.
    * Treats others with compassion, dignity, and respect.
    * Signs in and out to the answering services in accordance with office hours.

    Reviews the daily activity of the office to assure smooth operations, as directed by supervisor.

  • Notifies supervisor of any broken equipment.
    * Performs all necessary tasks related to maintenance of regulatory requirements. Notifies supervisor immediately of any breaches of the regulations.

    Performs other related duties as assigned.

  • Attends all mandatory in-services and trainings as directed.
    * Exercises one's judgment and discretion in releasing any information. Always complies with the University's and the Department's policies regarding confidentiality.
    * Provides backup to other clinical staff in other departmental sites, as directed.
    * Assists in the orientation of new staff to office procedures.
    * Participates in clinical trials and other research, as assigned.

    QUALIFICATIONS:

    To perform this job successfully, an individual must be able to perform each essential duty satisfactorily.     EDUCATION AND/OR EXPERIENCE:

    * Graduation from an accredited program in Licensed Practical Nursing.
    * Licensed as a Practical Nurse in the state of New Jersey.
    * At least one (1) year of experience in a medical office setting, preferably in a medical office or clinic setting required.
    * Ability to handle potentially infectious bodily secretions safely is required.
    * Phlebotomy is required.
    * Knowledge of computers is required.
    * The ability to work independently, excellent communication skills, organizational skills, and flexibility is required.

    PHYSICAL DEMANDS:

    Must be able to stand and sit for long periods of time. Must be able to manipulate medical supplies and equipment. Must be able to communicate well with internal and external customers, often under stressful circumstances.

    NOTES:
