Pre-Planning Administrative AssistantOverview

We are seeking a compassionate, highly organized Full-Time Pre-Planning Administrative Assistant to support our Funeral Pre-Planning Department in serving families with professionalism, empathy, and attention to detail.

This role plays a vital part in assisting our Pre-Planning Advisors by coordinating appointments, managing documentation, maintaining accurate records, and ensuring seamless communication throughout the pre-arrangement process. The ideal candidate will be detail-oriented, discreet, and comfortable guiding families through administrative steps related to advance funeral planning.

A minimum of 5 years of office experience, strong organizational skills, and the ability to handle sensitive conversations with care and professionalism are essential for success.

Key Duties & Responsibilities

Family & Client Support

  • Serve as a professional point of contact for pre-planning inquiries via phone, email, and in-person meetings
  • Schedule and confirm pre-planning appointments for advisors
  • Provide families with general information regarding pre-planning options (non-licensed information only)
  • Follow up with prospective clients in a courteous and timely manner
  • Assist families with completing necessary paperwork and documentation

Administrative & Operational Support

  • Prepare pre-planning packets, contracts, and supporting documentation
  • Maintain accurate and confidential client records in pre-need management systems
  • Enter, update, and track leads and pre-need agreements
  • Coordinate with funeral directors, accounting, and management as needed
  • Process payments and maintain related documentation in accordance with company procedures
  • Generate reports for management and pre-planning advisors
  • Manage department calendars and scheduling
  • Ensure compliance with company policies and applicable pre-need regulations

Professional Standards

  • Maintain strict confidentiality of client information
  • Demonstrate empathy, discretion, and professionalism in all interactions
  • Prioritize tasks efficiently in a structured yet relationship-focused environment
  • Maintain a conservative, professional appearance at all times
  • Support department marketing efforts, mailings, and event coordination as needed

Requirements

  • Previous office or administrative experience
  • Strong organizational and time management skills
  • Excellent written and verbal communication skills
  • Ability to handle confidential and sensitive information with discretion
  • Proficiency in Microsoft Office Suite & Outlook
  • Comfortable working in a team-oriented, service-driven environment
  • Ability to work 40 hours per week, including occasional weekend availability for seminars or events
