The Operations Coordinator supports the Facility Services and Mechanical Divisions through organizational processes, documentation, customer satisfaction and employee communication.
The Coordinator will develop and maintain turn documents and quotes, and will provide accurate tracking and documentation on job completion.
Key Responsibilities·
Develops and maintains reporting tools to monitor job status and ensure complete job execution
·
Customer Service Support (Receive incoming customer calls, evaluate and dispatch information to the correct division head and/or employee for technical assistance)
·
Maintains client database and contact information
·
Monitors Yardi 3rd party work orders
·
Proactively works with Finance to ensure proper billing
·
Validate pricing setup sheets
·
Database entry (customer setup; job setup; bill codes by job)
·
Account setups and changes
·
Budget input and maintenance
·
Other duties as assigned
Education and Experience Required
·
1-3 years of experience in an operations coordinator or similar support role
·
Previous experience in industries such as facility services, maintenance, HVAC or janitorial is preferred
·
Strong customer focus and communication skills.
·
Proficient using Microsoft Office applications (Excel, Word, Outlook, PowerPoint)
·
Ability to communicate effectively with different departments, customers, and employees via phone, email, virtually and in person
·
Strong problem-solving skills and able to prioritize
·
Ability to prepare accurate/detailed accounting data
·
Must be self-directed, customer-focused, and organized
