    Basic Job Functions:

    This position will manage the Legal function's billing process supporting legal counsel based in North America, and will coordinate consolidated billing reporting for the Legal function's leadership team.

    The successful candidate will be responsible for reviewing invoices from law firms and legal vendors in preparation for leadership approval, ensuring the accuracy and completeness of billing data, resolving billing issues, and maintaining accurate records to inform the Legal leadership team around actual versus projected spend.

    The ideal candidate will have strong attention to detail, excellent organizational and communication skills, and the ability to work independently and as part of a cross-functional team, primarily with Accounting and Financial Planning.

    Essential responsibilities:

    • Review and prepare invoices for approval, ensuring accuracy and completeness of billing data
    • Monitor and follow up on outstanding invoices, ensuring timely payment to external counsel (law firms and legal services suppliers) and timely receipt of services rendered in internal Accounting system of record
    • Respond to supplier inquiries regarding billing and payment
    • Respond to internal (Accounting) inquiries regarding services rendered and received, status and details around future projected spend, and timing of invoice processing to inform Accounting of accruals and entries
    • Resolve billing issues, discrepancies, or disputes by communicating with clients and other stakeholders
    • Maintain accurate and complete billing records and generate reports to facilitate internal Legal reporting, in alignment with broader Accounting and Financial Planning reporting
    • Collaborate with other departments to ensure accurate and timely reporting and analysis
    • Ensure compliance with accounting and financial regulations and policies
    • Provide excellent customer service to clients and other stakeholders
    • Strong success record of working in a matrix environment with a focus on building relationships and driving improvements

    Experience and Education:

    • Experience as Billing Specialist, preferably with Legal billing experience either in a law firm or back-office accounting setting
    • Comfortable dealing with numbers and the processing of financial information
    • Intermediate proficiency in MS Office (particularly Excel) and ERP software (Oracle Fusion/Cloud preferred)
    • Proficiency in English, both spoken and written
    • Results-driven and patient
    • High degree of attention to detail and trustworthiness
    • BS or AS degree in Finance or Accounting or in paralegal studies preferred, but not required

    Required Skills/Competencies:

    • Strong attention to detail and a commitment to accuracy in processing and reporting
    • Proficiency in or ability to learn proficiency in financial reporting software (Oracle Fusion ERP)
    • Knowledge of billing and invoicing cycle (procure-to-pay): A solid understanding of public-company accounting requirements, or ability to learn and apply as applicable to the scope of the role
    • Excellent verbal and written communication skills with internal and external audiences, including the ability to convey financial cycle information to non-financial personnel, and to summarize billing and spend information for leadership audiences
    • Ability to proactively identify and anticipate problems, define root cause and work collaboratively with others to resolve issues
    • Ability to prioritize and manage time to ensure on-time billing and timely resolution of any issues
    • Familiarity with legal terminology and legal billing process in a law office or back-office accounting setting to accurately interpret invoices and billing legal fees
    • Solid understanding of financial accounting and budgeting principles to effectively communicate both variances and trends so that budgets can be appropriately adjusted
    • Ability to manage and analyze billing and spend related data: intermediate to advanced Excel skills desired
    • Adherence to laws and best practices in regards to dealing with customers and data
