- Maintains Accounts Payable Module in Financial Software
- Enter invoices into Accounts Payable Module.
- Maintain allocation spreadsheets for expenses.
- Review vendor statements for accuracy to posted records.
- Maintain W-9 files for all 1099 vendors - correspond with vendors for all information needed and maintain good vendor relations.
- Generate weekly check run.
- Receives and processes mail.
- Completes and computes bank deposits with substantiating documentation. May involve check and receipt pickups from other locations. Delivers the deposits to the bank.
- Perform general clerical and administrative support tasks in support of accounts receivable including contract billing, and the general accounting functions of the organization.
- Assist in distribution of financial data to managers using automated processes.
- Identify discrepancies during performance of tasks and work to resolve discrepancies in a timely manner.
- Associate degree in accounting, finance or similar with 1-2 years' experience in bookkeeping, clerical and/or billing operations preferred. An equivalent combination of education, training and experience may be considered.
- Valid driver's license and access to car, preferred, to take deposits to the bank as needed.
- Experience with utilizing computer software programs such as accounting modules AP, AR, GL, and banking preferred.
- Proficient in Microsoft Office and Excel basic skills required.
- Must be detail oriented, accurate and able to prove own work.
- Be flexible and able to adapt to change as business needs require.
- Good written and oral communication skills so they can effectively build and maintain relationships with internal and external stakeholders and vendors.
- Confidentiality is a crucial factor in this position. Applicant must be able to prove and display an ability to sustain confidentiality of the information they are in contact with.
