    Vehicles Rental Agent - Quixote New Jersey

    Job Summary:

    Quixote Studios is a vibrant, growing company in need of an organized and productive Vehicles Rental Agent in our New Jersey-based facility. The Vehicles Rental Agent is part of the support team that promotes our purpose to provide an unparalleled service experience in the world of content, whether it be print, film or video. The Vehicles Rental Agent is responsible for maintaining and strengthening existing client relationships while also expanding Quixote's client base through strategic customer service efforts. They must stay well-informed of all opportunities in our national market and have a thorough knowledge of all pertinent information related to our businesses and the clients we service. The ideal candidate will demonstrate initiative and problem-solving skills in an environment that demands exceptional performance. They must think creatively about new technology and processes and how they can best be applied in both our in-house practices and new rental items for our production equipment inventory.

    Job duties include, but are not limited to, the following:

    • Assist administrative staff and managers with all incoming bookings via email and phone calls.
    • Negotiate terms with all clients on vehicle orders.
    • Schedule deployment of vehicles to and from client locations.
    • Assist administrative staff and managers in generating new business through client outreach (cold calling, cold emailing, marketing promotions, promotional events, etc) and enter all pertinent client data into our CRM on a daily basis.
    • Maintain an intimate knowledge of all our production rental services and offerings, communications offerings, lighting & grip, photo equipment and expendables.
    • Maintain a working knowledge of power distribution.
    • Assist administrative staff in opening accounts in FleetMaster and save all paperwork for each account in the online shared database. This includes our MRA (one per customer), Deal Memos (one per job/rental agreement), Certificates of Insurance and issuing our digital CC authorization.
    • Authorize credit cards for all COD clients before equipment is released for the amount of the rental plus $ for any L&D. NET30 clients are not subject to these authorizations.
    • Confirm NET30 account status with accounting before processing orders.
    • Help in planning and purchasing all equipment for the facility once CapEx is distributed and approved by executive staff. Help the executive team build the annual CapEx budget.
    • Work with the billing team to make sure we fiscally close the month on time and accurately track all revenue in the month it was earned.
    • Assist accounts receivable in recouping all bad debt and unpaid invoices.
    • Communicate customer requests, order changes and/or paperwork specifications to managers and floor staff.
    • Always maintain a clean work area and complete all tasks in a safe and timely manner.
    • Collaborate with the Marketing team and Production Rental management to build the Quixote brand in the NY marketplace.
    • Accurately and thoroughly complete all paperwork for every rental transaction and properly file it for billing.
    • Operate all company vehicles in a safe and efficient manner, following all state, Federal DOT regulations and company policies.
    • Collaborate with Production Rental management regarding changes to processes or procedures and implement after approval has been given.
    • Work closely with the vehicles operations team in managing the repair and rehabilitation of our fleet on an ongoing basis
    • Maintain confidentiality in all aspects of client, staff, and studio information.
    • All other duties as assigned by executive team.

    Qualifications & Requirements:

    • 2+ years in Production or production related field (Rental House, Production Transportation, Vendor, Crew, Production Assistant, Production Coordinating, Production Managing, Producing).
    • Proficiency with MS Word, MS Excel, Google Docs.
    • Must have a desire to learn and grow.
    • Must have strong attention to detail and organizational skills.
    • Ability to meet deadlines. Demonstrating accuracy in the execution of assigned tasks.
    • Ability to anticipate needs and adapt to changes in a high-volume environment
    • Must be reliable, professional and possess good judgment.
    • Must have strong interpersonal skills and effective, clear communication skills.
    • Must have a flexible schedule with the ability to work overtime as needed.
    • Driver's License Required

    Work activities will regularly include working outside, in inclement weather, with exposure to extreme temperatures, areas of poor visibility, wet and/or humid conditions.     Compensation:

    Pursuant to state and local pay disclosure requirements, the pay range for this role is $ $32.00 per hour.

    The salary offered may vary depending on multiple individualized factors including but not limited to market location, job-related knowledge, education/training, certifications, key skills, experience, external market and internal value, including seniority and merit systems, and internal pay alignment. A potential new employee's salary history will not be used in compensation decisions.

    Quixote Studios reasonably and in good faith expects to pay for the position within the salary range listed, taking into account the wide variety of factors listed above
