    TITLE: Coordinator - Development & Events
    REPORTS TO: Director of Development
    FLSA STATUS: Exempt
    Summary:
    Under the general direction of the Director of Development, the Coordinator - Development & Events focus is to generate fundraising income and aid with the operations of a donor-centric, data-driven department. The oversight of the donor database will be a shared function between the coordinator and Executive Assistant. The coordinator will lead the tactical and financial aspects of special fundraising events. The coordinator must be a strong thinker with diligence, the ability to multitask, an elevated level of organization, and excellent written and verbal communication skills.Essential Duties and Responsibilities:
    Development
    • Contribute to reaching financial support:
      • Work with the Development Team to solicit individuals, corporations/businesses and civic groups for donations and other support.
      • Work with the Development Team to plan and implement special fundraising and stewardship events.
      • Prepare development materials in partnership with the Director of Development.
    • Effectively correspond with committees, setting up meetings for committees and sub-committees and managing schedules for the department
    • Coordinating all mailing activities, including solicitation letters, invitations, and stewardship correspondence. This would include mail mergers, labels, etc.
    DATABASE MANAGEMENT
    • Manage the database to ensure the integrity and accuracy of information entered into the database and that all protocols are followed.
    • Develop, maintain, and document procedures for use of the database.
    • Consult with and advise the Director of Development on list generation and report preparation. Independently or in collaboration with the Director of Development, create and execute standard and customized database reports that meet the evolving needs of the fundraising teams.
    • Maintain standardized tools and procedures to track end-user lists and report requests, as well as data management and database improvement projects.
    • Conduct regular data hygiene procedures and perform data audits with staff training and corrective training/review.
    • Support planning and decision-making by translating data into usable reports.
    • Maintains data integrity and accuracy and manages global changes, imports, and other global database functions.
    • Recommend table structures, coding and business rules that capture information for donor analysis and action. Ensure accurate transfer of records among different database systems.
    • Develop the process to document and track stewardship action.
    Alumni Outreach
    • Manage and maintain Alumni engagement strategy.
    • Refine Alumni association and craft multi-audience outreach.
    • Maintain a bank of Alumni profiles and regularly share Alumni feedback.
    • Maintain communication with crucial Alumni groups (Hall of Fame, Carson and Braden Scholars, Youth of the Year).
    • Develop fundraising mechanisms related to Alumni giving.
    • Design and implement a strategic program to engage volunteers and alumni in becoming supporters of the annual giving campaign.
    FUNDRAISING EVENTS
    • Coordinates Logistics and implements annual club-wide special events, including logistical details to keep the team on track.
    • Develop and strengthen special event committees with the Club volunteer coordinator to build and expand the volunteer base.
    • Research new event spaces that meet established budgets for each event.
    • Works with the Development Committee team on fundraising needs, primarily ticket sales and general and in-kind donations for each.
    • Maintains guest lists for all events with follow-up communication and event details both digitally and by email.
    • Coordinates volunteers for special events and collaborates with the Director of Development & Communications on duties needed for each event.
    • Oversee execution and communication of third-party promotions, including social and retail campaigns.
    • Oversee Peer-To-Peer campaigns for various constituents, including text-to-giving.
    May be assigned other special projects and duties.Qualifications and Experience:
    • Bachelor's degree from an accredited institution of higher learning or similar educational experience.
    • Two or more years of successful experience in development, ideally philanthropy.
    • Past event coordination experience
    • Initiative-taker and the ability to multitask.
    • Excellent organizational skills.
    • Communicate effectively orally and in writing.
    • Proficiency with the Microsoft Office suite.
    • Proficiency in database software, Sales Force a plus and database conversion experience.
    • Ability to build relationships with key stakeholders.
    • Read, interpret, apply, and explain rules, regulations, policies, and procedures.
    • Ability to consistently meet schedules and deadlines.
    • Maintain confidentiality of organizational records.
    • Ability to work independently.
    • Ability to exercise discretion and provide independent judgement.
    • This position is an in-person role.
    PHYSICAL & MENTAL REQUIREMENTS/WORK ENVIRONMENT:
    • This is a full-time, exempt position. Hours are typically Monday through Friday, including evenings and weekends.
