    JOB SUMMARY:


    Coordinates and directs scheduling of Nursing department staff for all shifts. Takes an active role in processing staff schedule requests, and preparation of records in the electronic time keeping system.


    ESSENTIAL DUTIES & RESPONSIBILITIES:


    • Creates, coordinates, reports, posts and manages all functions related to 24 hour schedules of nursing department employees based on CBA and/or facility requirements,
    • Utilizes staff at straight time, overtime and staffing pool staff appropriately and in accordance with prevailing union contracts, if applicable.
    • Provides staff with the opportunity to request necessary time off within a given time frame prior to finalizing the new time schedule.
    • Submits a nursing staff request to the staffing pool to fill vacant shifts open after initial scheduling is complete.
    • Maintains a working knowledge of the prevailing union contract as it pertains to staffing issues (if applicable).
    • Completes the daily staffing form with current and accurate adjustments and updates the master schedule.
    • Assigns staff in accordance with the master staffing plan developed specifically for the facility.
    • Checks unit staffing at the beginning of the day and evening shifts via telephone or electronic time keeping system.
    • Notifies appropriate personnel and adjusts daily schedule to cover staff call offs, no shows, staffleaves due to disability, workers compensation, PFL or terminations.
    Assists in securing coverage.


    • Promptly communicates and provides accurate and timely reports on daily staffing, vacancies and agency use tothe Director of Nursing, Facility Administrator and management
    • Maintains accurate attendance records and notifies management of attendance-related issues.

    Maintain timely records of call-offs, tardy and early arrivals and coordinate daily with HR to ensure attendance policies are administered promptly and fairly.


    • Prepares disciplinary notices regarding time and attendance for nursing leadership to issue, weekly, after the completion of time cards.
    • Accurately enters and maintains data relative to scheduling using company software programs in UKG
    • Updates electronic time cards on a daily basis and completes time cards for the previous week, on a timely basis. All applicable paperwork is submitted to the HR/Payroll Department.
    • Informs Human Resources/Payroll via emailof vacancies, staff terminations and change of status for the nursing department on a daily basis.
    • Completes and submits weekly vacancy reports to HR.
    • Completes facility van log (if applicable).
    • Schedules companion aides (if applicable).
    • Performs any other necessary duties as assigned by the Director of Nursing, Administrator or Supervisor.
