    The Special Events Coordinator is responsible for coordinating all aspects of the Office of Student Affairs and Wellbeing student facing events at the Hackensack Meridian School of Medicine, from the conceptual stage, through all the planning and promotion, up to and including the follow through after the event. Responsible for overseeing, guiding, budgeting and ensuring follow through from students and vendors working on the special events. Has the ability to coordinate multiple short and long-term assignments and projects simultaneously as well as work with various offices of the School of Medicine to bring these events to fruition.

    This is a hybrid role, you need to be in the office 3 days a week and work 2 days remotely. Schedule is subject to change as needed.

    Responsibilities:

    A day in the life of a Special Events Coordinator at Hackensack Meridian Health includes:

    • Acts as a prime source for promotion of activities and special events within the Office of Student Affairs and Wellbeing of the Hackensack Meridian School of Medicine.
    • Coordinates all aspects of annual events including; Commencement, White Coat Ceremony, Match Day, Clinical Transition Ceremony.
    • Collaborates with all HMH Network offices as required.
    • Responsible for all communication, to all parties, regarding events.
    • Applies established event planning principles and practices and works with the HMSOM Office of the Dean, public relations and marketing departments of both HMH and HMSOM to ensure the most successful events possible.
    • Schedules and maintains communication with speakers, vendors, and participants.
    • Coordinates and monitors events and complex project timelines and meets deadlines.
    • Prepares and distributes post event evaluations. Gathers results, tabulates and analyzes feedback to ensure special events are meeting expectations and reports results to Associate Dean of Student Affairs and Wellbeing for review at Cabinet.
    • Assists in preparing a variety of publications, printed materials, and programs for events.
    • Maintains a calendar of events.
    • Attends meetings as needed and represents HMSOM.
    • Initiates, coordinates and/or participates in all efforts to publicize promotion of activities, services, and events.
    • Establishes and maintains cooperative relationships with colleagues and others contacted in the course of work.
    • Responds to sensitive matters and/or situations with discretion, tact, and confidentiality.
    • Prepares presentations and speaks effectively in various public forums.
    • Continually communicates project status to internal stakeholders through various formal and informal mechanisms.
    • Supports the Associate Dean of Student Affairs and Wellbeing as needed.
    • Processes invoices and contracts as needed at the direction of the Director of Student Affairs and Wellbeing.
    • Other duties and/or projects as assigned.
    • Adheres to HMH Organizational competencies and standards of behavior.
    Qualifications:

    Education, Knowledge, Skills and Abilities Required:

    • Bachelor's degree.
    • Minimum of 7 years of related experience.
    • Ability to demonstrate a wide degree of creativity and to handle ample latitude.
    • Strong research and/or internet search tool skills.
    • Demonstrated ability to coordinate large-scale projects in an academic setting;
    • Strong time-management, organization, and coordination skills.
    • Excellent communication skills, both verbal and written.
    • Ability to utilize critical thinking skills in making decisions that support the mission, vision, goal and values of Hackensack Meridian School of Medicine.

    Education, Knowledge, Skills and Abilities Preferred:

    • Minimum of 10 years of related experience.
    • Experience in large, multi-location, complex business.

    Licenses and Certifications Preferred:

    • Certification through CMP Exam (Convention Management Professional Exam).
