    Overview
    Kimley-Horn has a challenging opportunity in our Charlotte, NC office for an Administrative Assistant to support our Marketing team.

    We are seeking a dynamic, proactive individual to provide administrative support to senior Marketing leadership, Marketing Coordinators, and Graphic Designers on day-to-day and confidential activities.


    Responsibilities

    • Providing administrative support to 5-8 professionals including calendar maintenance, scheduling, filing, expense reports, and travel arrangements
    • Researching venues for meeting or events along with related activities
    • Negotiating with vendors
    • Running occasional errands
    • Traveling occasionally
    • Effectively partnering with other Administrative staff and senior leaders
    • Responding quickly and efficiently to requests for assistance
    • Generating and organizing financial reports
    • Supporting conferences by supplying project materials to outside printers, internally printing, and shipping support materials for events
    • Occasionally printing and copying materials for proposal production, including creating labels and FedEx packages
    • Supply ordering, stocking, and assessing inventory of marketing production center
    • Filing and archiving
    • Other special projects as assigned

    Qualifications

    Position Requirements:

    • 3 years in a corporate/professional environment in an Administrative role
    • Strong proficiency in MS Office Suitespecifically Excel
    • Strong proficiency in Adobe Acrobat Professional; familiarity with database software preferred
    • Professional, organized, client-oriented, and deadline driven
    • Able to anticipate needs and manage multiple competing priorities
    • Strong verbal and written communication skills (grammar/proofreading)
    • Positive team player with can-do attitude and commitment to quality
    • Self-starter who can thrive in an environment where leaders often travel
    • The physical demands of this role include moving and lifting of boxes, and standing and sitting for extended periods of time
    • Proven ability to maintain confidentiality

    Desired Qualifications:

    • Knowledge of A/E/C industry
    • Database software experience
