    Job Summary

The Office Assistant is responsible for providing a welcoming office environment for our team members, and helping us organize and maintain our facilities, processes, and procedures. The Office Assistant will report to the Charlotte Office Manager. This is a part-time role, 10-15 hours per week with flexible days, start and end time depending on project and event needs.

    What You'll Do

    • Oversee and support all administrative duties in the office and ensure that the office is operating smoothly.
    • Manage office supplies and Flores "swag" inventory and place orders as necessary.
    • Assist on-site IT Manager to manage employee technology inventory (laptops, keyboards, etc.) and place orders as necessary. May also assist with special projects as needed.
    • Receive and sort incoming office mail and deliveries and manage outgoing mail/FedEx packages.
    • Own and maintain emergency action plans and coordinate appropriate drills.
    • Identify facility repair and maintenance needs and coordinate contractors to complete necessary work.
    • Ensure that office policies and procedures are implemented and followed appropriately.
    • Identify opportunities for process and office management improvements, and design and implement new systems.
    • Maintain shared spaces in the office, including breakrooms and kitchens. Duties include decorating, emptying the dishwasher, keeping the pantry stocked, etc.
    • Provide other administrative support to on-site and remote staff as necessary, including scheduling group meetings, maintaining calendars, assisting with mail delivery, and coordinating vendors.
    • Plan and execute office events, such as anniversary celebrations, holiday gatherings, meetings.
    • Support HR with administrative/project duties.
    • Perform other duties as assigned.
    • Maintain quality work that exemplifies and promotes Flores' core values.
    Requirements:

    Who You Are

    • Someone with a minimum of 1 years' experience working in an office environment.
    • A tech-savvy individual who is proficient with Microsoft Office.
    • Someone who is capable of moderate physical activity, such as carrying small items up and down stairs, cleaning and organizing spaces, and standing and moving around for prolonged periods.
    • A detail-oriented and self-motivated person who can identify a need, create a plan to address it, and follow the plan through to completion.
    • Someone with excellent communication skills and the ability to build strong, productive relationships.
    • An individual who is passionate about creating a clean, pleasant, and efficient environment for the benefit of all who work there.
    • An individual that understands the value of providing a high level of customer service.

    Work Environment

    Flores' standard work hours are Monday through Friday, 8:30 a.m. to 5 p.m. ET with an hour lunch. Roles may be approved for other schedules by managers. This is a part-time role reporting to the Winston Salem office, 10-15 hours per week with flexible days, start and end time depending on project and event needs. This role consists of prolonged periods sitting at a desk and working on a computer, as well as standing and utilizing the stairs and ladders. The person in this role must have the ability to lift and carry small parcels, packages, and other items. This role also utilizes other tools such as a phone, copy machine, and printer. Common programs often used are Outlook, Word, and Excel. This position frequently communicates with Flores team members and candidates and must be able to exchange accurate information clearly in these situations.
