    Utron, a distinguished leader in the design and installation of autonomous and semi-autonomous parking garages, is currently seeking a talented Administrative and Sales Assistant to join our team at our Hackensack, NJ office. We're looking for a highly motivated individual who can provide vital support to our managers and employees, manage daily office operations, and oversee general administrative activities.

    Key Requirements:

    • Minimum of 4 years' experience as an executive administrative assistant
    • Intermediate proficiency in Microsoft 365 [Excel (VLOOKUP, PIVOT TABLES), Word, Outlook, Teams]
    • Solid experience making corporate travel arrangements, and corporate correspondence.
    • Excellent verbal and written communication skills.
    • Strong organizational skills with meticulous attention to detail.
    • Proven problem-solving abilities.
    • Self-starter capable of working independently or collaboratively within a team environment.

    Responsibilities:

    • Warmly greeting visitors at reception and ensuring a welcoming environment.
    • Assisting the accounting department in tracking travel expenses, including employee reimbursements using Expensify.
    • Assisting our accounting department to track credit card charges and record them in Excel.
    • Assisting in sales activities by preparing and reviewing offers, as well as managing client purchase orders.
    • Conducting thorough research and efficiently booking airline flights, hotels, and auto rentals for our valued employees.
    • Facilitating logistics and coordination services for service technicians and installation teams.
    • Providing real-time scheduling support by efficiently booking appointments for our managers.
    • Utilizing our company's ERP system proficiently for processing order requests.
