    Job Description: Office Assistant for Nurse Practitioner Multi-Specialty Practice

    Position Overview: We are seeking a skilled and dedicated Office Assistant to join our dynamic nurse practitioner multi-specialty practice. As an integral part of our healthcare team, the Office Assistant will play a crucial role in ensuring the smooth and efficient operation of the office, supporting our medical staff, and providing exceptional administrative support.

    Responsibilities:

    1. Reception and Front Desk Duties:
      • Greet patients and visitors in a warm and professional manner.
      • Answer phone calls, schedule appointments, and manage patient inquiries.
      • Maintain a tidy and organized front desk area.
      • Direct patients to appropriate exam rooms and healthcare providers.
    2. Administrative Support:
      • Assist with patient registration and medical records management.
      • Coordinate and manage patient appointment schedules, ensuring efficient use of providers' time.
      • Manage billing and payment processes, ensuring accuracy and adherence to policies.
      • Handle routine correspondence, emails, and faxes with discretion and confidentiality.
    3. Medical Records Management:
      • Organize and maintain electronic health records (EHR) and paper records accurately.
      • Ensure HIPAA compliance and confidentiality of patient information.
      • Collaborate with healthcare providers to ensure timely and accurate charting.
    4. Patient Care Support:
      • Escort patients to exam rooms.
      • Provide patient education materials and resources as directed by healthcare providers.
      • Support providers during examinations and procedures as required.
    5. Team Collaboration:
      • Collaborate with other medical staff and office personnel to ensure a cohesive and supportive work environment.
      • Assist colleagues when necessary, fostering a positive and team-oriented atmosphere.

    Requirements:

    • High school diploma or equivalent; additional education or certification in office administration or medical assisting is a plus.
    • Previous experience in a medical or healthcare setting is preferred.
    • Proficiency in using office software, such as Microsoft Office Suite and electronic health records (EHR) systems.
    • Excellent communication and interpersonal skills, with a compassionate and patient-focused approach.
    • Strong organizational abilities and attention to detail to manage various tasks effectively.
    • Ability to maintain confidentiality and handle sensitive information with utmost discretion.
    • Capacity to multitask and handle a fast-paced environment while remaining composed.
    • Demonstrated problem-solving skills and the ability to adapt to changing priorities.
