    Position Accountabilities and Essential Functions

    POSITION SUMMARY:


    The primary function is to facilitate and meet the needs of 60+ dental hygiene and assisting students, and the patients while managing all aspects of a dental office.


    The various aspects of the dental office are:

    explaining policy and procedures, conflict resolution, scheduling and rescheduling patients, answering phone calls, ensuring policies and protocol are followed, developing forms to increase communication and efficiency of the office, communication with patients, students and faculty, tracking inventory, ordering supplies, trouble-shoot equipment and software issues, contact appropriate department or vendor if repair is needed, and coordinate repairs as needed.

    ESSENTIAL DUTIES AND RESPONSIBILITIES INCLUDE BUT ARE NOT LIMITED TO THE FOLLOWING:

    Students


    • Supporting students with how to use the dental software for scheduling patients
    • Assist students with meeting program requirements and following policy and procedures.
    • Works with students on concerns and problems.
    Communication


    • To facilitate meeting the needs of the students and patients, excellent communication is essential in every aspect of the dental office.
    • Explaining policy and procedures in different ways to ensure the student/patient understands. Recognizing when a student/patient is upset and having the ability to resolve the issue.
    • Appropriate professional communication with medical providers regarding the patient's medical history.
    • Assisting the student with completion of requirements, ensuring proper documentation in the dental chart, explaining to the student how to properly follow protocol and assist the student with problem solving and communication with the patient.
    • Ability to understand various problems related to equipment, software, orders, or a facility issue. Be able to explain the problem to the appropriate department, communicate update to appropriate individuals, organize repair, and follow through to ensure problem has been resolved.
    • Continuous communication with DH/DA program coordinator, and faculty regarding numerous day to day issues.
    Patients


    • Returns phone calls to community and answers questions.
    • Explains procedures and policy.
    • Prepares and maintains patient dental records and patient computer data.
    Budget & Inventory


    • Maintain inventory.
    • Order supplies for dental clinic and computer lab.
    • Scheduling of repairs and maintenance in dental clinic.
    • Post charges, collect fees from patients, make deposits.
    Repairs


    • Trouble-shoot repairs of equipment and software. As needed, contact and coordinate vendors for repair.
    • Track the progress regarding repairs, ordering parts and share with faculty how to take care of minor problems and how to prevent problems as explained by repair person.
    Required Qualifications


    • Minimum technology skills, not limited to: telephone, electronic calendar, fax machine, copy machine, printers, PC, email, security maintenance, internet/intranet, Word processing skills, college supported software
    • Specific certification, training, apprenticeship or experience in addition to high school diploma or GED
    • One to three years of position related experience
    • Knowledge and skills are required to be updated yearly for CPR certification
    • Dental Assistant or Dental Hygienist or Receptionist experience
    • Good organizational and problem solving skills
    • Excellent communication skills

    • A certified dental assistant, registered dental assistant or registered dental hygienist
