    Job Title: Service & Rental Coordinator

    Department: Service – Utilities Division

    Reports to: Operations Manager

    FLSA Status: Exempt

    Position Purpose:

    The Service and Rental Coordinator plays a crucial role in managing service and rental operations, facilitating smooth transactions, and delivering excellent customer experiences. The individual in this position is responsible for administration and coordination for all aspects of service and rental activities, from initial inquiries to post-rental follow-ups, to ensure efficiency, and customer satisfaction.

    Essential Job Functions:

    • Coordinate and process rental agreements for mobile Aerial devices and rental equipment.
    • Support the Service and Sales team in day-to-day operations.
    • Handle customer inquiries, quotes, reservations, agreements, and payments, both in-person and over the phone.
    • Assist Sales in selecting the right equipment for their needs, offering additional products or services as appropriate.
    • Verify insurance coverage and obtain COI for rentals.
    • Coding vendor invoices in a timely manner for the accounting department
    • Keying vendor invoices into internal and external work orders
    • Interpreting and entering mechanic notes daily for field jobs & shop.
    • Summarize mechanic notes for customer invoice (cause, complaint, correction)
    • Deduct parts returns from open work orders as submitted, to maintain accurate inventory.
    • Code and submit expense reports for employee reimbursement. Post to work orders.
    • Obtain Purchase Orders for customer billing on jobs where one is required.
    • Invoice work orders & mail to customers.
    • Issue customer credits when necessary.
    • Other activities as directed by the Shop and Field Supervisors with any needs they have, parts transfers, etc.
    • Maintain the WIP Report.
    • Answer and direct incoming service-related phone calls to appropriate personal.
    • Daily time uploads for field and shop technicians.
    Qualifications:
    • High school diploma or equivalent required; experience in the equipment rental industry preferred.
    • Proven track record in customer service.
    • Self-starter with the ability to thrive in a fast-paced environment.
    • Strong communication skills, both written and verbal.
    • Technical aptitude and the ability to learn new software systems.
    • Proficiency in Microsoft Office suite.
    • Ability to work flexible hours as needed.
    • Excellent multitasking and organizational abilities.
    Physical Requirements:
    • Standing, walking, talking, sitting, and use of hands.
    • This job mostly involves sitting or standing, but there may be occasional tasks that involve lifting or moving objects weighing up to 25 pounds.
