    GENERAL DESCRIPTION

    Under the supervision of the Legal Scholarship & Digital Education Librarian, the Faculty and Programs Support Assistant helps full-time faculty in their scholarship and academic work. The Faculty and Programs Support Assistant provides administrative support for several programs, including but not limited to the Chicago-Kent legal writing program, moot court and appellate advocacy programs, and the IP programs. Duties include supporting program teaching needs in and out of the classroom, assisting students with program requirements, and supporting the day-to-day needs of the full-time faculty.

    The Chicago-Kent College of Law Library in the Conviser Law Center is located in downtown Chicago, one of the largest legal markets in the country. The position is a full-time position and is available immediately. COMMUNICATIONS Excellent interpersonal, written, and oral communication skills. Ability to establish and maintain good working relationships with colleagues, including faculty and all staff levels. Manage and maintain student and faculty information in a confidential manner. Ability to collaborate and work effectively in a team-oriented environment. CUSTOMER SERVICE Exceptional customer service is the highest priority. Must have strong customer service orientation and attention to detail, with the ability to take direction and feedback, prioritize assignments, manage time effectively, follow through with assignments and projects, and manage expectations from multiple faculty members.. Special Schedule Requirements Monday- Friday, 8:30 a.m. to 5:00 p.m. or 9:00 a.m. to 5:30 p.m. are customary hours. Hours may be modified to meet faculty needs. A hybrid work schedule is available. Qualifications Education & Experience A Bachelor's degree or significant progress towards a Bachelor's degree in any field and at least two years of relevant work experience in administrative support. Preferred: Work experience in a higher education academic environment. Knowledge & Skills Required:
  • Capacity to learn new electronic platforms and systems.
  • High level of integrity in dealing with confidential and sensitive matters.
  • Excellent interpersonal and communication skills (written and verbal).
  • Strong proofreading/editing skills.
  • Strong skills with document formatting.
  • Advanced skills with office suite products, such as MS Office, Excel, or Google Apps.

  • Able to work on multiple projects simultaneously.
  • Customer-service-focused and flexible in meeting deadlines.
  • Highly accurate typing skills.
  • Preferred:
  • Experience with course/learning management systems such as Blackboard and Canvas.
  • Basic skills working with Adobe Acrobat Pro.
  • Experience working in a legal environment.
  • Experience working with faculty and students.
  • Basic design skills.
  • SUPERVISION & BUDGET AUTHORITY None Physical Environment and Requirements This position requires working in the public areas of the 7th and 8th floors, faculty support project workrooms, faculty offices, and other parts of the Conviser Law Center. The worker may be exposed to typical building pollutants (including dust, mold, & mildew). Some work will require long periods of sitting in front of a computer and performing repetitive tasks. Must be able to lift a minimum of 25 pounds and perform occasional light labor (picking up mail, including large packages, loading paper into printers, archiving faculty files, and delivering mailings to the College Service Center). Certifications and Licenses List any certifications or licenses that are either required or helpful in performing the job, designating whether required or preferred. N/A Key Responsibilities Key Responsibility Faculty Scholarship: Provide resources, review profiles, upload content, format files, and coordinate mailings and other duties as assigned for full-time faculty needs. Percentage Of Time 20 Key Responsibility Reimbursements: Support faculty and program needs following the university's budgeting and finance policies for purchases and reimbursements for faculty personal budgets and related academic programs. . Percentage Of Time 20 Key Responsibility Legal Writing:Coordinate with the heads of the legal writing programs, collecting required form data through course websites, sharing resources with all instructors, and processing the teaching assistant hiring files and payroll for each term. Support faculty hiring committees for VAP candidates, coordinating file sharing. Percentage Of Time 20 Key Responsibility Course Materials: Support faculty with course-related tasks, including customized seating charts, course websites, and other print or digital file management. Percentage Of Time 20 Key Responsibility Certificates & Programs:Coordinate application data for certificate programs, verify student eligibility, and provide final documents. Percentage Of Time 20
