Job description
We are looking for a dedicated and detail-oriented Front Desk Coordinator to join our team on a contract basis in Plymouth.
In this role, you will serve as the first point of contact for visitors and employees, supporting daily office operations and ensuring the smooth functioning of administrative tasks.
This position requires strong organizational skills, attention to detail, and the ability to maintain a welcoming and efficient front desk environment.
Responsibilities:
- Greet and assist visitors, employees, and vendors in a detail-oriented and friendly manner.
- Provide administrative support to office staff, including organizing documents and maintaining schedules.
- Ensure the office remains clean, organized, and stocked with necessary supplies.
- Manage relationships with vendors to support facility needs, including janitorial services, security, and maintenance.
- Coordinate office meetings and events, handling scheduling, catering arrangements, and presentation preparation.
- Oversee mailroom operations, including sorting and distributing mail and packages.
- Assist with planning and executing company events, including setup, takedown, and supply management.
- Support meeting technology needs, including Microsoft Teams and other virtual or in-person tools.
- Help maintain Certificates of Insurance and other required documentation.
- Answer and direct calls using a multi-line phone system, providing excellent customer service to callers.
- Previous experience as a receptionist or administrative assistant.
- Strong written and verbal communication skills to interact effectively with all levels of the organization.
- Proficiency in Microsoft Office applications, including Word, Excel, and Outlook.
- Exceptional organizational skills with the ability to multitask in a fast-paced environment.
- High attention to detail and strong problem-solving abilities.
- Ability to handle confidential information with discretion and demonstrate attention to detail.
- Familiarity with managing office supplies and inventory.
- Ability to provide excellent customer service and maintain a welcoming atmosphere.
