    Full-time Confidential Secretary to the Superintendent - 7.5 hours/day, 261 days/year. Salary and benefts in accordance with the Act 93 Agreement, Confidential Secretaries

    Start Date: On or about July 1, 2024

    Essential Functions (including but not limited to):
    • Five years of relevant experience.
    • The candidate must be trustworthy and possess sound discernment and discretion, diplomacy, ability to listen attentively, and a proactive work ethic.
    • The candidate must be able to perform general office duties such as answering calls, redirecting emails, opening, processing, and distributing mail, preparing, typing, and maintaining forms and reports. They will assist the Superintendent by reading, researching, and routing correspondence, drafting letters, memos, and documents, and collecting and analyzing information for reports, presentations, and responses to inquiries.
    • The candidate should be familiar with Microsoft Office, Adobe, Google, and Canva Software applications and have expertise in using computer/technology skills such as the Internet, databases, spreadsheets, desktop publishing, mass communications, and form creation. The candidate must abide by federal, state, and local school laws and regulations, mandated programs, district policies, and administrative regulations, and applicable collective bargaining agreements with district employees.
    • The candidate must maintain confdentiality with all District and School Board information, including District and school population information. The job involves establishing filing systems appropriate for the Superintendent office environment and in accordance with standardized records management and retention procedures, such as retrieving filed documents and materials, maintaining classified or confidential materials in accordance with security procedures, transferring and discarding files in accordance with established business procedures and schedules, and maintaining records of the Board and Superintendent's annual working budget.
    • The candidate will perform duties as an office manager for the Superintendent's office. They will maintain the Superintendent's appointment calendar, coordinate meetings and events, maintain the Superintendent's confidential files and information, and place, receive, and screen telephone calls as appropriate. They will respond to inquiries, emails, and calls as needed. They will greet and assist visitors and interact with others in a positive and professional manner. They will maintain receipts and files for reimbursement for the Superintendent's expense reports, and maintain Superintendent's timesheets.
    • A primary responsibility of the position involves creating and maintaining agendas for board and committee meetings, including soliciting and collecting agenda items from administrators, assisting with the development of board and committee meeting agendas, posting essential items to the website, assembling and distributing non-public information for school directors' review, advertising board and committee meetings in accordance with the Sunshine Act, and assembling and providing handouts as needed.
    • The candidate will assist the Superintendent in his capacity as the Open Records Officer for Right-to-Know Law requests, meeting all legal requirements of the law and consulting with the Superintendent or legal counsel as appropriate.
    • The candidate will assist the Superintendent with the development of internal and external communications. They will assist the Superintendent with the development of visuals and content for public presentations.
    • The candidate will assist the Superintendent with updating and maintaining District policies, administrative regulations, and procedures.
    • The candidate will assist the Superintendent with the development and assignment of internal and external recognitions, publications, and awards.
    • The candidate will perform other duties as assigned and in accordance with school policy, administrative regulations, state and federal laws.
