    JOB SUMMARY

    Serves as the primary contact for all events and activities held at the Fairgrounds or the Clifton Community Center or the Debeque Community Center and handles all event-related correspondence. Administers day-to-day facility use inquiries, bookings and site inspections. Maintains event files and facility records. Assists in marketing. Assists Manager with budget preparation and other County financial procedures.

    This position will require weekend work and alternate work schedules.

    Essential Duties

    ESSENTIAL JOB FUNCTIONS

    Serves as coordinator for activities held at the Fairgrounds, or the Clifton Community Center or the Debeque Community Center. Coordinates booking, and maintains calendar for inquiries and scheduling with promoters, residents, County departments, and organizational leaders regarding facility rental rates, availability, special needs, and County requirements.

    Prepares event-related documents and correspondence. Produces and processes facility rental applications, contracts, invoices, evaluations, and post-event reports. Coordinates all internal and external event calendars and assists with other marketing-related activities. Produces calendars and event orders for staff execution of events. Creates written documentation (note taking) while meeting with customers both internal and external.

    Conducts regular communication with maintenance staff to review all event-related work orders (e.g. room set-ups and farmers markets etc.) Helps with room set-ups and event set ups.

    Participates in and/or leads all pre-event meetings for major events, and executes on site activities for most major events (including evenings and weekends) held at the facility, including the Mesa County Fair, Grand Stand events, leased events at the Fairgrounds and the Clifton Farmers Market. Assists the Manager with many aspects of the Mesa County Fair and/or the Clifton Farmers Market including procurement of entertainment, Vendors, third party services such as trash, tent rental, security etc. Position also monitors events in progress. Acts as liaison between third party contractors which includes promoters, security services, emergency services, vendors etc. Coordinates the procurement of outside services used with all major events.

    Assists with the preparation of revenue deposits, petty cash reconciliation, and produces financial reports. Assists Manager with annual operating budget preparation and end of year reporting. Coordinates processing of invoices and departmental bills through an integrated financial system.

    Prepares weekly and monthly reports on Fairgrounds or the Clifton Community Center or the Debeque Community Center activities and account status.

    Oral and written communications must be clear and effective.

    Receive incoming phone calls from prospective renters.

    Performs other related duties as assigned.

    Minimum Requirements

    MINIMUM QUALIFICATIONS REQUIRED


    Education and Experience

    Associate's degree in business, marketing, or related field and four(4) years of related work experience

    Any combination of education, training and experience which provides the knowledge, skills and abilities required for the job.

    PHYSICAL REQUIREMENTS AND WORKING ENVIRONMENT

    This position requires standing, stooping, sitting, bending, twisting, and lifting up to 20 pounds.

    Work is generally confined to a standard office environment.

    Often required to work long days (and weekends) at major events during prime event season.

    The employee is frequently exposed to dirt, smoke, fumes, extreme heat and cold for long duration, outside atmospheric conditions, traffic noise, and dust for sustained periods of time.

    While performing the essential functions of this job you may experience, shaking objects or surfaces, noxious odors, gases, and poor ventilation that affect the respiratory system eyes, or the skin.
