- At least two years' experience or equivalent education in executive assistant/office management
- Computer literate in office applications (Excel, Microsoft Word, Publisher, Power Point, etc.) which supports the efforts of the Marketing Department.
- Pleasant personality with outstanding communication skills
- Ability to communicate well with prospective residents, residents, family members, guests, vendors, and staff.
- Outstanding organizational skills and the ability to coordinate many different activities simultaneously.
- Well-groomed and dress accordingly to community policy
- Always maintain professional attitude, Experience in the concept of a Life Plan community

- Maintains marketing CRM database; generates daily, weekly, and monthly reports as requested
- Assists with all phone calls and mailings
- Maintain adequate supply of marketing and admissions materials. Maintain inventory status and monthly sales and marketing reports
- Coordinate supply of brochures and inquiry forms for after-hours and weekend use by front desk, concierge, and guard house.
- First point of contact for all online inquiries/discovery and tour scheduling for Sales Counselor if appropriate
- Maintain and communicate product/services information to prospective internet leads
- Coordinates selections for renovations and selection specialist for expansion units
- Responsible for facilitating the completion of move-in paperwork
- Assemble resident handbook and acceptance packet paperwork
- Works with resident and family to ensure paperwork is completed and move-in is timely
- Notifies necessary staff of move-in or move-out
- Checks apartments for readiness and requests keys, fobs, and pendants
- Communicates with mover for all resident transfers and new move-ins
- Assist in processing of Confidential Financial Statements
- Orders move-in basket & Bon Appetite lunches
- Code all invoices received in Mfiles and assign to Director
- Follows 1 UP guidelines, assign inquiries appropriately
- Record inquiries in 1 UP notebook/ensures new inquiries are entered in Matrix Care Marketing
- Completes reports as requested.
- Performs other duties as assigned.

GENERAL OVERVIEW:
The Marketing Assistant/Move-In Coordinator is responsible for supporting the Director of Marketing and Sales Counselors with all essential marketing activities as well as overseeing the new resident move-in process. This role also performs administrative duties for the Marketing department, schedule and arrange appointments, update department reports, continuous up-dating and maintenance of CRM database, assistance with mass-mailings, and maintenance of files.
